The Role
We are seeking an experienced Receptionist & Customer Service Coordinator to serve as the first point of contact for students, parents and prospective families.
The successful applicant will be responsible for managing enquiries, resolving concerns, maintaining operational systems and supporting the smooth day-to-day running of the centre.
The ideal candidate is warm, professional and highly organised. They are comfortable having difficult conversations when required, can enforce policies respectfully, and remain calm under pressure.
Key Responsibilities
- Welcome students, parents and visitors to the centre.
- Answer phone calls, emails and customer enquiries in a professional and timely manner.
- Manage enrolments, class transfers, attendance enquiries and general administration.
- Handle customer concerns and complaints with maturity, professionalism and confidence.
- Communicate centre policies clearly and consistently.
- Support the management team by resolving issues before escalation becomes necessary.
- Maintain accurate student records and administrative systems.
- Coordinate appointment scheduling, class bookings and administrative workflows.
- Assist with invoicing, payment follow-up and customer account enquiries.
- Support centre operations during busy after-school and weekend periods.
- Contribute positively to the culture and professionalism of the organisation.
Essential Requirements
- Minimum 3 years' experience in a reception, administration or customer service role.
- Outstanding verbal and written communication skills.
- Demonstrated ability to manage difficult customer conversations professionally.
- Strong organisational skills and attention to detail.
- High level of emotional maturity and resilience.
- Ability to multitask in a fast-paced environment.
- Proficiency with Microsoft Office and common administrative software platforms.
- Strong problem-solving skills and initiative.
