We’re seeking a capable and organised Personal Assistant & Office Secretary to work closely with the CEO and General Manager of The Travel Shop Group. This is a hands-on position ideal for someone with great initiative, strong communication skills and a passion for travel and teamwork.
As a key support to our executive and marketing teams, you will help keep projects, meetings and communications running smoothly, from preparing documents and following up on tasks, to greeting visitors, coordinating errands, assisting in the organisation of photoshoots and events, and ensuring the Airlie Beach office stays productive and professional.
Every day is different with The Travel Shop, but key responsibilities will be to:
- Provide administrative and organisational support to the CEO and General Manager
- Attend supplier and operator meetings, taking notes and following up on assigned actions
- Assist with general office coordination, scheduling and internal communication
- Help prepare meeting documents, reports and follow-ups for executive staff
- Greet and liaise with local partners, operators and visiting suppliers
- Manage correspondence, phone calls and appointments for the CEO
- Assist with errands, local deliveries and occasional office-related travel tasks
- Collaborate with marketing and executive teams to maintain smooth operations
Our ideal candidate will be:
- Highly organised with excellent time management skills
- Confident, proactive and able to prioritise effectively in a fast-paced environment
- A clear and professional communicator, both written and verbal
- Comfortable working closely with senior staff while maintaining confidentiality
- Friendly and approachable when greeting visitors and representing the company
- Tech-savvy with strong attention to detail and accuracy
- Must have full working rights in Australia
- Driver’s licence preferred (for local errands and deliveries)
- Based in Airlie Beach or willing to relocate
Our ideal candidate will have experience with:
- Google Workspace, Asana, Slack, Notion and general office software
- Administrative support, office coordination or executive assistant work
- Basic finance, HR or marketing assistance (preferred but not essential)
- Familiarity with tourism or hospitality environments, especially in the Whitsundays, is an advantage
Experience in similar administrative or support roles is valued but not required for the right motivated personality.
