What this opportunity involves:
As a trusted advisor within an established national team, you'll support a fast-paced, high-volume portfolio for one of Australia's most recognisable brands, operating at the intersection of leasing, finance, systems and stakeholders. You'll operate with a high degree of independence and personal accountability, managing end-to-end lease administration processes across a significant national footprint while ensuring accuracy and timely delivery across multiple workstreams. Success requires a strong bias for action, the ability to manage competing priorities from multiple stakeholders, and a disciplined approach to accuracy, controls and delivery in a deadline-driven environment.
An Overview of the role:
Oversee the end-to-end Lease Administration Rent Roll process, ensuring accuracy and timely delivery of both Accounts Payable and Accounts Receivable rent rolls in line with the financial calendar
Ensure accuracy and monthly reporting of all lease events (including options, rent reviews, expiries and CPI increases), with strong control over data integrity and critical dates
Manage major rental reconciliations and arrears, including investigation, resolution and communication with internal stakeholders and landlords
Manage the set-up of new sites and disposals, and oversee one-time and recurring leasing payments in accordance with executed agreements and approvals
Act as the escalation point for all lease administration matters, including complex landlord/tenant queries, system issues and data discrepancies
Provide technical support and training to users and clients on lease administration systems, tools and processes
Conduct monthly audit compliance reporting and support annual lease audit and governance requirements
Maintain and continuously improve standard templates, checklists, workflows and documentation to support consistent, auditable and efficient practices
Sounds like you? This is what we are looking for:
Tertiary qualification in Real Estate, Commerce, Finance or Property Law, or equivalent industry experience
Minimum 1–3 years' experience in lease administration or a related property role
Demonstrated ability to interpret commercial leases and rent roll reporting
Strong understanding of accounts payable, accounts receivable and reconciliation processes
Experience using lease administration or property management systems and advanced Excel capability
Strong attention to detail and commitment to data quality
Excellent written and verbal communication skills with strong organisational and problem-solving abilities
Ability to operate independently, prioritise competing deadlines and manage multiple stakeholder relationships
