Full Job Description

We are looking for an Office Manager who can support the business with administration, job coordination, quoting, payroll support, compliance documents, supplier coordination, and general office management.

You will be working closely with the directors, supervisors, installers, suppliers, and clients to make sure jobs are created, organised, quoted, documented, and completed properly.

The right person does not need to know everything from day one, but must be willing to learn, be organised, and have a strong work ethic.

Your responsibilities will include:

Creating and managing jobs in TradeTrak
Preparing and updating quotations
Assisting with invoices, payroll, and basic accounting tasks in Xero
Booking materials, equipment, access equipment, and deliveries for job sites
Communicating with suppliers, subcontractors, supervisors, and clients
Preparing site documents, including inductions, SWMS, safety documents, and job packs
Organising job schedules and helping coordinate installers
Following up purchase orders, supplier invoices, and job paperwork
Keeping job files, photos, reports, and documents organised
Supporting the office with general administration and day-to-day business tasks

The ideal candidate will have:Previous office administration, construction administration, or office management experience

Construction experience is strongly preferred, especially if you understand tools, materials, site work, access equipment, or trade coordination

Experience using Xero, especially payroll or accounts support
Strong computer skills and ability to learn new systems
Good English communication skills — B2 level or higher
Strong organisation and attention to detail
Ability to manage multiple tasks at the same time
Confidence speaking with clients, suppliers, and workers
A practical mindset and willingness to help where needed

The following experience would be a strong advantage:

Experience in construction, maintenance, trades, or industrial services
Experience with TradeTrak or similar job management software
Experience preparing SWMS or site induction documents
Understanding of materials, tools, equipment hire, and supplier orders
Experience working with installers, technicians, or subcontractors
Experience with purchase orders, quotes, invoices, and job costing

Pay: $70,000.00 – $80,000.00 per year

Work Location: In person
