About the role:
We are seeking a Scheduling Officer to join our Stafford team on a full-time, permanent basis. In this role, you will play a key part in coordinating and overseeing the scheduling of clients and staff using the Procura Client Information System, ensuring services are delivered efficiently and in line with client needs and business requirements.
You will work closely with Care Coordinators, Systems and Operations Administrators, Line Managers and other key stakeholders to manage daily scheduling changes, clarify information and resolve scheduling issues. This role is ideal for someone who is highly organised, detail-oriented and confident managing competing priorities in a fast-paced environment.
You will also provide guidance and support around scheduling processes and governance, contributing to the smooth delivery of services and positive outcomes for our clients.
This is a full-time, permanent opportunity based at Stafford , with the pay rates starts from Level $33.48/hr, depending on relevant skills, qualifications and experience.
Responsibilities:
- Coordinate and oversee the scheduling of clients and staff using the Procura Client Information System .
- Analyse client, staffing, funding and compliance data to support effective resource allocation.
- Provide oversight and support to administration team members, including allocation of key scheduling tasks.
- Manage daily scheduling changes, including staff leave, sick leave and client service adjustments, in line with established procedures.
- Provide timely scheduling information and change notifications to relevant staff, services and stakeholders.
- Respond promptly to client support and scheduling issues, working with relevant teams to achieve appropriate outcomes.
- Maintain accurate client records, documentation, filing and archiving in accordance with organisational requirements.
- Ensure all scheduling and administrative activities comply with privacy, confidentiality and information management requirements.
- Liaise effectively with internal and external stakeholders to provide a high level of customer service and resolve scheduling matters.
- Contribute to the achievement of service and business outcomes while working within operational and budgetary requirements.
- Identify and implement opportunities for continuous improvement, including participating in audits, service reviews and process improvements.
- Support the administration and scheduling team through training, mentoring and knowledge sharing , including Procura training and refresher sessions.
About You
To be successful in this role, you will bring:
- Valid Aged Care Worker Screening Check
- Current National Police Check OR o Current NDIS Worker Screening Clearance. NDIS Worker Screening Clearance is mandatory for Services/Facilities delivering services to NDIS clients
- Statutory Declaration if you have been a citizen or permanent resident of a country other than Australia after turning 16.
- Current Drivers Licence and own reliable vehicle
