This position requires a strong commitment to adhering to the Disability Services Act and the United Nations Convention on the Rights of Persons with Disabilities, while also fostering relationships with clients and stakeholders.

The admin officer to support coordinator is responsible for managing administrative tasks, scheduling, travel arrangements, and supporting daily operations within the NT. This role involves coordinating meetings, maintaining records, handling confidential matters, and ensuring effective communication with stakeholders, Participants, family etc.

Your duties will include but not be limited to:

Calendar Management:

Manage the support coordinator’s calendar, scheduling appointments, meetings, and travel arrangements.
Coordinate with internal and external stakeholders to ensure timely and accurate scheduling.

Travel Arrangements:

Book flights, hotels, and transportation for business trips.
Prepare and submit travel expense reports.
Conduct house visits for clients/participants, family, and stakeholders.

Administrative Tasks:

Maintain the support coordinator office files and records.
Coordinate meetings and provide administrative support by accurately taking minutes and ensuring action items are completed.
Store all correspondence in the central records management database.
Prepare correspondence, notes, and executive reports.
Liaise with other support coordinators, staff, and other stakeholders on matters affecting the office and overall performance.
Perform other reasonable tasks within the scope of the role as required.

Confidential Matters:

Handle sensitive information with utmost discretion and confidentiality.
Adhere to all company policies and procedures regarding data privacy and security.
Follow the organization’s Code of Conduct and maintain professional, respectful, and collaborative work relationships.

Internal and External Relationships:

Actively participate in day-to-day activities and assist the team when required.
Develop effective relationships with all departments of the organization.
Maintain high-quality relationships with staff, clients, visitors, and stakeholders.

Additional Position Responsibilities:

Maintain a company calendar and schedule appointments.
Book meeting rooms and vehicles for the team as required.
Distribute and store correspondence (e.g., letters, emails, and packages).
Schedule in-person and external events.
Perform additional tasks as assigned.
preparing quarterly or monthly reports by gathering stakeholder and participant feedback and submitting them to the NDIS and NDIA.
Provide marketing support by sharing photos of activities.
Ensure the shift notes / progress notes are accurate and completed properly

Additional Position Responsibilities

Regularly audit and review participant services, for example, ROC and funding in the portal as per
Required to be on call if necessary.
Continuous professional development and training are vital to remain updated on industry standards, hence cultivating a culture of learning and advancement inside our organisation.

Desired Skills and Experience

Requirements & Qualifications:

Tertiary qualification in Disability, Diploma, or any relevant experience in a similar sector.
Knowledge of NDIS regulations, compliance, and quality assurance standards.
Excellent communication and stakeholder engagement capabilities.
Ability to handle crisis situations with professionalism and efficiency.
Strong documentation, reporting, and record-keeping abilities.
Willingness to travel within NT and provide flexible support when required.
Current unrestricted driver’s license
Should have their own car with appropriate insurance
Working with Children OCHRE card/Blue Card.
NDIS Worker Screening Check/Yellow Card

Desired Knowledge/Experience

Experience in a similar role for a minimum of 1 year.
Strong organisational and time-management skills.
Demonstrated commitment to the ongoing stewardship of HOP and service delivery.
Proficient in the full suite of Office 365.
Excellent interpersonal and communication skills.
Demonstrated high-level external relations and networking skills
An understanding of the needs and considerations of Culturally and Linguistically Diverse clients and their families
Commitment to ongoing professional development and staying current with industry trends.
A working knowledge of the NDIS Practice Standards and the ability to ensure compliance.
