About the Team:

Reporting to the Coordinator, Student Resources and Planning, you will join a collaborative and supportive team within the College of Arts, Business, Law, Education and IT at Victoria University. The team works closely with academic and professional staff to deliver high-quality administrative support and an excellent experience for students and stakeholders across the College.

Position Details:

The Administrative Officer provides high-level organisational and administrative support to senior management and the broader College team. This role is responsible for delivering efficient and professional administrative services across a range of operational activities, including meeting coordination, stakeholder support, scheduling, event administration and maintaining key systems and records. Working in a collaborative and fast-paced environment, the position plays an important role in supporting the smooth day-to-day operations of the College.

Key responsibilities include:

Providing high-level administrative and organisational support to the College team
Coordinating meetings, bookings, catering and College events
Coordinating VLAB requests

Managing enquiries from staff, students and external stakeholders
Maintaining databases, records and shared drives
Assisting with scheduling, sessional administration and operational processes
Supporting continuous improvement of administrative systems and procedures
Preparing correspondence, reports and meeting documentation
Ensuring excellent customer service and effective communication across the College

Classification: HEP 5 $79,135 - $90,899 plus 17% employer superannuation
Employment Type: Full-time Continuing
Hours per Week: 36.75
Location: Hybrid- WFH, Footscray Park and City Campuses

Demonstrated experience in providing high-level administrative support in a complex environment
Strong organisational skills with the ability to manage multiple priorities and meet deadlines
Excellent written and verbal communication skills
Well-developed interpersonal skills and the ability to build effective working relationships
A high level of proficiency in Microsoft Office applications, including Word, Excel and PowerPoint
The ability to quickly learn and work with new systems and databases
Strong attention to detail and problem-solving capability
A professional, collaborative and adaptable approach to work
