Provide a range of administrative services and operational support to the Director of Operations at the Malmsbury Youth Justice Precinct.
The Department of Justice and Community Safety (Youth Justice) is responsible for the statutory supervision of young people in the criminal justice system in Victoria focussing on prevention, diversion, and early intervention as the most effective and fiscally responsible ways of reducing youth crime. As an area within the department, Youth Justice is committed to the demonstration of the Victorian Public Sector values. Youth justice custodial centres accommodate young people aged 12-18 years who have been remanded or sentenced by the Criminal Division of the Children's Court, and some 18-21 year olds sentenced by Adult Courts to a youth justice custodial centre.
The Business Support Officer is responsible for supporting Director of Operations and Senior Managers within Youth Justice Custodial Services by providing a full range of executive, confidential, administrative, and operational support functions.
The opportunity

Ongoing, full-time position based at the Malmsbury Youth Justice Precinct but working flexibly across other Youth Justice Custodial Precincts (Parkville & Cherry Creek), where needed to respond to operational requirements.

VPS3 role: $81,496 - $98,955 per year plus super.

Provide high-quality administrative, coordination and project support to the Malmsbury Senior Leadership team to assist the delivery of operational priorities, business activities and reform work.

Manage the inbox and coordinate schedules as required, while providing daily administrative support and assisting with workflow coordination.

Effectively manage office processes and maintain corporate information systems, templates, tools and administrative processes to support records management, workflow coordination and financial administration as required.

Answer queries, provide timely advice and take follow-up action as required, including redirecting incoming correspondence and requests to the appropriate area.

Provide secretariat and meeting support for meetings, governance forums, project meetings and conferences, including coordinating agendas, papers, minutes, action items, site inductions and regular operational meetings.

Provide administrative support and advice on office management procedures, policy and procedural guidelines, project activities and other general office functions, and identify improvements to systems and processes in collaboration with relevant stakeholders.

Keep accurate and complete records of work activities and maintain information registers in accordance with legislative requirements and the department's records, information security and privacy policies and requirements, including in TRIM and SharePoint.

Gather information and assist with the analysis of statistical, operational and project data, and prepare reports, briefings, presentations and other documentation as required.
To be successful in this role, you will have:

Experience in general office management including the provision of confidential, personal and administrative support functions to a senior manager.

A current driver's licence is required due to the need to work across different locations.
A current employee Working with Children Check (WWCC) card is required and will need to be provided prior to commencement of employment by the applicant. Currency will need to be maintained by the employee for the period of employment.
