Triple Zero Victoria (TZV) provides the critical link between the Victorian community and the state’s emergency services agencies. It provides Victoria’s 24-hour emergency call-taking and dispatch services for Police, Fire, Ambulance and VICSES.

About the Role
The Corporate Secretariat Officer is a key role within the Office of the CEO, responsible for delivering high-quality governance, executive and corporate secretariat services that support the Chief Executive Officer, Board and Board Committees.
Reporting to the Senior Advisor, Ministerial and Executive Services, the role works closely with the Office of the CEO, Board members, Executive Leadership Team and internal stakeholders to coordinate governance processes, manage confidential governance information and ensure the timely delivery of Board and Committee services. The position requires exceptional organisational skills, sound judgement, discretion and the ability to build strong stakeholder relationships while supporting effective organisational governance and decision-making.
Day to day responsibilities include:

Coordinating end-to-end governance and secretariat services for the Chief Executive Officer, Board and Board Committees, including meeting scheduling, agenda preparation, quality assurance of Board papers, document management, action tracking and the timely distribution of governance documentation.

Preparing accurate, concise and impartial Board and Committee minutes, exercising sound judgement to capture key deliberations, decisions, resolutions and actions while managing highly confidential and sensitive information with discretion and integrity.

Managing governance records, document control processes and governance systems, ensuring Board records, resolutions and governance documentation are accurate, secure and compliant with legislative, regulatory and organisational requirements.

Monitoring governance workflows, meeting calendars and action registers, proactively identifying risks, resolving issues and supporting the timely delivery of governance obligations and organisational priorities.

Building productive relationships with Board members, Executive Leadership Team members and internal stakeholders, providing advice and guidance on governance processes, meeting protocols, documentation standards and governance systems.

Contributing to governance and executive projects by undertaking research, preparing briefing materials and identifying opportunities to improve governance processes, systems, reporting and business practices.
About You
You will have Secretariat and administration experince in a corportate or similar business enviornment with excellent organisation skills, with hte ability to prioritise tasks and manage multiple tasks simultaneously.
The successful candidate will have the following experience, skills and attributes:

Demonstrated experience providing governance, executive or corporate secretariat support within a Board, executive or similarly complex organisational environment, including managing highly confidential and sensitive information with discretion and integrity.

Exceptional organisational and coordination skills, with the ability to independently manage competing priorities, meet critical governance deadlines and deliver high-quality outcomes in a fast-paced environment.

Highly developed written communication skills, including the ability to prepare accurate, concise and professionally presented governance documentation, reports and Board and Committee minutes, exercising sound judgement to distil complex discussions into clear records.

Strong interpersonal and stakeholder engagement skills, with the ability to build productive relationships, provide advice on governance processes and work collaboratively with senior leaders, Board members and a diverse range of internal and external stakeholders.

Demonstrated analytical and problem-solving skills, with the ability to identify governance risks, recommend process improvements and contribute to the continuous enhancement of governance practices and systems.

Well-developed digital literacy, with experience using the Microsoft 365 suite and the ability to quickly learn and effectively utilise governance and document management systems. Experience using Board management systems such as Diligent will be highly regarded.
