Job Description
We are seeking a highly organised and proactive Clinic Operations Coordinator to join our Allied Health Clinic team. This is an exciting opportunity for an experienced operations professional to play a pivotal role in supporting the administrative, financial, and systems-based functions that underpin the effective delivery of clinical services and student placement programs.
Reporting to the Manager, Allied Health Clinic, you will work closely with clinic administration staff, clinicians, academics, and university stakeholders to ensure the smooth and efficient operation of the clinic.
You will contribute to maintaining a sustainable and well-functioning clinical environment through process improvement, systems optimisation, financial administration, reporting, and operational support. The role also provides guidance and support to Clinic Support Officers and assists with the coordination of student placement activities.
As the Clinic Operations Coordinator, you will:

Coordinate administrative and operational processes across the Allied Health Clinic to ensure consistency, efficiency, and compliance.

Manage clinic financial administration, including invoicing, reconciliations, adjustments, and support for multiple payment streams.

Assist with debtor management activities and prepare relevant documentation.

Investigate financial and operational discrepancies and provide reports to support informed decision-making.

Maintain data integrity across clinic systems, databases, and reporting platforms.

Identify opportunities to improve workflows, reporting processes, and administrative systems.

Provide guidance and support to Clinic Support Officers and act as an escalation point for complex operational matters.

Support the administrative coordination of student placements, including onboarding, scheduling, compliance requirements, and stakeholder communications.

Liaise effectively with clinical staff, academic units, students, patients, and central university services.

Contribute to audit, accreditation, compliance, and reporting activities.

Ensure adherence to relevant legislation, university policies, privacy requirements, equity principles, and workplace health and safety standards.
About you
You are a detail-oriented and solutions-focused professional who enjoys improving processes and supporting operational excellence. You have strong organisational skills, excellent attention to detail, and the ability to manage competing priorities in a fast-paced environment.
You will bring:

An Associate Diploma qualification with at least two years’ relevant experience, or an equivalent combination of training, skills, and experience.

Demonstrated experience in administrative, operational, or business support roles.

Strong financial administration and reconciliation skills.

Experience maintaining accurate records and working with databases and reporting systems.

Excellent communication and stakeholder engagement skills.
-
Proven ability to identify issues, investigate discrepancies, and implement practical solutions.

A collaborative and proactive approach, with the ability to support colleagues and contribute to a positive team culture.

High levels of professionalism, integrity, and customer service.

Experience within the healthcare sector would be highly regarded, particularly with knowledge of Medicare, private health insurance, NDIS, and private billing systems.

This is a continuing, full-time position based at the Griffith University Gold Coast. As Griffith is a multi-site University you may be required to work across other locations.
Griffith University’s campuses are located on the lands of the Yugarabul, Yuggera, Jagera, Turrbal, Yugambeh and Kombumerri peoples.
Salary Range
The full time equivalent base salary will be HEW Level 5 range $82,415 - $92,456 per annum + 17% superannuation. The total FTE package will be in the range $96,426 - $108,174 per annum.
