Executive Assistant – HAVN Auto Group

Location: Southport, QLD
Employment Type: Part-Time (with opportunity to become Full-Time)
Salary: Competitive, based on experience

About Us

HAVN Auto Group is a rapidly growing automotive business specialising in vehicle sourcing, sales, finance partnerships, and luxury vehicle solutions. We pride ourselves on delivering exceptional service and creating streamlined experiences for our clients and business partners.

As we continue to grow, we're looking for a highly organised Executive Assistant to work directly alongside the directors and help keep the business operating efficiently.

The Role

This is a hands-on position supporting the day-to-day operations of the business. You'll be responsible for managing administration, coordinating tasks, communicating with clients and suppliers, and ensuring nothing falls through the cracks.

The ideal candidate is proactive, highly organised, and able to thrive in a fast-paced environment.

Key Responsibilities

Managing emails, calendars, and appointments
Following up clients, suppliers, and business partners
Preparing invoices and tracking payments
Assisting with vehicle paperwork and compliance documentation
Coordinating registrations, roadworthy certificates, and deliveries
Maintaining CRM and customer records
Assisting with marketing coordination and social media scheduling
Managing director task lists and daily priorities
General administration and office management duties
Helping improve systems and business processes

About You

Exceptional organisational skills
Strong written and verbal communication
High attention to detail
Ability to work independently and take initiative
Professional presentation and attitude
Proficient with Microsoft Office and Google Workspace
Experience in administration, executive assistance, or office management preferred
Automotive industry experience is advantageous but not essential

Hours
