Our Opportunity
An exciting opportunity has arisen for a highly organised and proactive Personal Assistant to join our Sustainability team. Reporting to the General Manager, Sustainability, you'll play a pivotal role in keeping executive priorities on track while coordinating the reporting processes that support key governance, leadership and Board forums.
This is a varied role combining executive support, team coordination and reporting workflow management. You'll be the central point of coordination across the Sustainability function, ensuring reporting cycles are delivered efficiently, timelines are met, and stakeholders remain connected and informed.
Working closely with leaders across the business, you'll help bring structure and clarity to complex processes, improve workflows, support planning activities and leverage technology and AI-enabled tools to drive efficiency. Key Responsibilities
- Provide high-level executive and administrative support to the GM, Sustainability

Manage calendars, meetings, travel, expenses and procurement activities

Coordinate reporting timelines, deadlines and inputs across Sustainability, ELT, Board and governance forums

Prepare presentations, meeting materials, reporting packs and documentation

Monitor workflow progress and maintain visibility of key priorities and dependencies

Support team planning, work-in-progress tracking and Sustainability Network activities

Identify opportunities to streamline processes and improve reporting efficiencies

Collaborate closely with Mirvac's EA and PA networks to support seamless ways of working
Your Point of Difference
You are an experienced coordinator or executive support professional who excels at managing competing priorities and building strong relationships across a broad stakeholder group. You bring structure, attention to detail and a calm, organised approach to complex work environments.
You'll also bring:
- Experience providing high-level administrative or executive support

Strong organisational skills and the ability to manage multiple deadlines simultaneously

Experience coordinating activities, projects, timelines or workflows across diverse stakeholders

Strong communication and stakeholder management capability

Excellent attention to detail and commitment to quality outcomes

Confidence exercising judgement, solving problems and escalating where appropriate

Advanced proficiency across Microsoft Office and business systems

Experience supporting reporting, governance or planning processes will be highly regarded
