Job Description
Reporting to the VP - CEO Office & Strategic Initiatives, the Coordinator, Office of the CEO & Strategic PMO supports the operating rhythm of the CEO Office and the governance cadence of Strategic Initiatives. The role acts as a shared coordination resource across both pillars, combining trusted executive support with disciplined governance administration.
Key Responsibilities:
CEO Office Coordination: Coordinate the CEO calendar and support the day-to-day operating rhythm. Schedule and manage logistics, agendas, papers, and follow-up actions for ELT meetings, strategy sessions, executive offsites, town halls, and leadership forums. Support the preparation of high-quality executive papers, briefing materials, and presentations.
Strategic PMO Administration: Provide administrative support across the Strategic PMO, maintaining templates, tooling, registers, and governance artefacts. Maintain governance calendars, reporting timetables, and support the collection of inputs for portfolio dashboards and review packs. Support the administration of RAID items, dependency tracking, and decision logs.
Cross-Pillar Efficiency: Act as the shared coordination point between the CEO Office and Strategic PMO to maximize operational efficiency, liaising with initiative sponsors and business stakeholders to monitor deadlines and follow-through.
Continuous Improvement & Compliance: Identify opportunities to improve administrative efficiency and reporting discipline. Ensure strict compliance with ELMO’s information security and privacy policies.

To be successful in this role, you will ideally bring:
Dual History: Around 5 years of experience successfully combining executive support and project/PMO administration within a fast-paced, high-growth, or SaaS/technology environment.
Governance & Admin Capability: Proven experience tracking and maintaining registers (risks, actions, RAID items), managing action logs, and building project templates or reporting packs.
C-Suite Confidence: Demonstrated ability to interact confidently and professionally with C-suite executives, senior leadership, and technical project teams.
Technical Tools: Advanced mastery of Microsoft 365 or Google Workspace. Experience or familiarity with PM software (Jira, MS Project, or Smartsheet) and data visualization/dashboards is highly preferred.
Communication & Attributes: Exceptional written communication skills with high attention to detail. You possess a high level of discretion, integrity, and the ability to work proactively and calmly in an evolving environment.
Qualifications: A Bachelor’s degree in Business Administration, Management, Commerce, or a related field is preferred. Additional certifications in Project Management (PRINCE2 or Agile PM) or Secretarial/Business Administration are highly regarded.
