About the role
An exciting opportunity exists for a highly organised and proactive Executive Assistant & Legal Secretary to support our General Counsel & Company Secretary and broader legal and corporate functions, based in our Perth corporate office.
This role provides high-level administrative and secretarial support, including direct support to Iluka’s Non-Executive Directors and coordination of Board and Committee activities. It is well suited to candidates with experience in legal secretarial, administrative or paralegal roles, particularly within ASX-listed corporate or law firm environments.
This is a part-time opportunity (approximately three-to-four days per week), with the potential to increase hours up to full-time for the right candidate.
Key responsibilities include:
Providing executive-level administrative support to the General Counsel & Company Secretary
Coordinating Board and Committee meetings, including preparation and distribution of papers
Supporting Non-Executive Directors, including travel, accommodation, and expense management
Managing complex calendars, correspondence, and stakeholder communications
Coordinating events such as Board meetings and the Annual General Meeting
Preparing and lodging documents with ASX and ASIC
Maintaining company registers and confidential records in line with governance requirements
Processing purchase orders, invoices, and vendor administration in SAP
Supporting onboarding and team administration across the Legal, Company Secretary, Land & Tenements, and Community & Indigenous Affairs function
About you
To be successful in this role, you will have:
TAFE/Business College Diploma in Secretarial Studies, Legal Services or equivalent experience
Significant experience in an Executive Assistant, Legal Secretary or Senior Administrative role
High‑level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong organisational skills with the ability to manage competing priorities
High attention to detail and accuracy
Exceptional interpersonal and stakeholder engagement skills
Proven ability to exercise discretion and maintain confidentiality
Desirable:
Experience supporting Directors or Executives within a listed company or legal environment
Familiarity with ASX and ASIC processes and corporate governance terminology
Exposure to SAP, records management systems, and Board platforms such as Diligent
Legal secretary or governance support background
