Temporary Full-Time: Up to 24 September 2027.
Location Eveleigh or Parramatta with flexible working arrangements available across NSW Department of Education offices.

Competitive remuneration ranging from $102,939 to $113,579 plus super & annual leave loading

The Executive Assistant provides high-level administrative and executive support to the Executive Director, Planning and Assessments, while enabling effective coordination across the broader directorate. This is a key role supporting smooth communication, well-managed operational workflows, and timely delivery of administrative functions that help leadership achieve quality outcomes.

What you’ll do

Act as the Executive Director’s point of contact by analysing requests, prioritising matters, and initiating action with discretion and confidentiality
Manage the Executive’s diary, appointments, records, and correspondence
Coordinate travel arrangements and schedule and support meetings to enable effective operational delivery
Provide high-quality administration support, including word processing, PowerPoint, spreadsheets, databases, statistical and scheduling support
Track and follow up on staff deliverables to ensure work quality and on-time completion
Attend meetings to capture minutes and actions, then follow up with relevant staff to ensure completion
Support leadership with purchasing, preparing orders, and processing payments in line with department policy, procedures, and relevant delegations
Monitor, raise, and implement improvements to administrative and executive support practices, systems, and procedures to optimise efficiency
Maintain effective records administration, ensuring systems stay up to date and records movement/tracking is completed in a timely manner
Manage competing priorities in a dynamic, high-volume environment while maintaining confidentiality, accuracy, and timely communication
Coordinate and communicate effectively across multiple teams and stakeholders, ensuring deliverables are tracked and followed up consistently

About you

Has demonstrated experience in providing high quality executive and administrative support who thrives in a fast-paced, high-volume environment
Are adaptable and flexible, willing to step in when needed to support business outcomes
Takes ownership of challenges and has a hands-on and proactive approach
Possesses excellent written and verbal communication skills, with a strong grasp on corporate protocols
Has demonstrated experience in using Microsoft Office applications, including Outlook, Word, Excel and PowerPoint.
Are comfortable managing confidential information, balancing competing priorities and working independently while remaining responsive to directorate needs
Has demonstrated experience in preparing high-quality documents and analysing and interpreting data
Enjoys working collaboratively and can influence and coordinate across multiple stakeholders
Knowledge of and commitment to implementing the Department’s Aboriginal Education Policy and upholding the Department’s Partnership Agreement with the NSW AECG and to ensure quality outcomes for Aboriginal people.
