About the Position
We are looking for a detail-oriented and proactive Project Assistant to support our Project Management team across commercial interior fitout projects in Sydney.
This is an onsite role suited to someone who wants to develop practical experience across project coordination, procurement, site activities, documentation and commercial fitout operations.
The successful candidate will work closely with Project Managers, estimators, designers, subcontractors and suppliers to support the smooth delivery of projects from preparation through construction and handover.
Applicants must be based in Sydney or able to work onsite in Sydney. This position is not available as a remote or overseas role.
Key Responsibilities
Project Coordination
- Assist Project Managers with the day-to-day coordination of commercial fitout projects.
- Review project plans, drawings and specifications to understand project requirements.
- Assist in tracking project progress, outstanding actions and required information.
- Coordinate with designers, estimators, suppliers, subcontractors and site teams.
- Maintain organised and accurate project records and documentation.
- Assist with project handovers, site documentation and close-out activities.
Procurement & Materials
- Assist with identifying material and product requirements from project drawings and specifications.
- Support the preparation and processing of material and supplier orders.
- Follow up suppliers regarding pricing, availability, lead times and deliveries.
- Maintain accurate purchasing and procurement records.
- Assist in identifying alternative materials or products where required.
Site Support
- Attend project sites when required.
- Assist with site measurements and verification.
- Support coordination between the Project Manager, subcontractors and site personnel.
- Follow up outstanding site requirements and report issues promptly.
- Assist with maintaining accurate records of site activities and project progress.
Cost & Project Support
- Assist with maintaining project budgets, cost records and supporting documentation.
- Support estimators and Project Managers with quantity checks and project information where required.
- Assist in identifying potential cost-saving and value construction opportunities.
- Maintain accurate records of project materials, variations and supporting information.
Skills & Qualifications
- Diploma or Degree in Construction Management, Architecture, Interior Design, Building, Engineering, or a related discipline is preferred.
- Previous experience in commercial interior fitout, shopfitting, construction or a related industry is highly regarded.
- Approximately 1 to 2 years of relevant industry experience preferred.
- Ability to read and understand construction and architectural drawings.
- Basic understanding of construction materials and project processes.
- Strong organisational and time-management skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks and follow up outstanding items.
- Strong problem-solving skills and willingness to learn.
- Able to work effectively both independently and as part of a project team.
Technical Skills
Experience with the following is advantageous:
- Microsoft Excel
- AutoCAD
- SketchUp
- Adobe Acrobat / PDF markup tools
- Microsoft Office
- Google Workspace
- Construction or project management systems
Communication
- Strong written and verbal English communication skills.
- Able to communicate professionally with suppliers, subcontractors, consultants and internal teams.
- Mandarin language skills are highly regarded but not essential.
- Confident following up outstanding information and coordinating with multiple stakeholders.
- Proactive in raising project issues and asking for clarification when required.
Work Requirements
- Must be based in Sydney, NSW, or able to reliably commute to our Sydney office.
- This is an onsite position and is not available as a remote role.
- Must be available to attend project sites throughout Sydney when required.
- Full-time availability during company operating hours.
- Ability to work across both office-based project administration and site-related activities.
