BetaWatt Solar (Beta Planet Pty Ltd) provides solar energy and battery storage solutions for residential and commercial customers. The business supports customers with solar system enquiries, quotations, installation coordination, product supply, battery options, and post-installation support.
Due to ongoing demand for residential solar, commercial solar, and battery installation projects, we are seeking a full-time Project Administrator to support the planning, coordination, and administration of our project work.
About the Role
The Project Administrator will assist with the administration of solar and battery projects from customer acceptance through to completion to achieve successful project delivery outcomes across multiple projects and stakeholders. The role will involve coordinating project documents, installation schedules, customer communications, contractor updates, and internal reporting.
Key responsibilities
- Review project scopes, customer requirements, installation timelines, and service arrangements and assist with documenting any approved changes or adjustments.
- Act as a key contact point for customers, suppliers, installers, and contractors in relation to project scheduling, documentation, progress updates, and service issues.
- Maintain and organize project records, including quotes, customer files, work orders, grid connection documents, warranties, progress records, and completion records.
- Liaise with the management team, sales staff, electricians, installers, suppliers, sub-contractors, customers, and stakeholders to support project delivery.
- Identify project issues for management attention, including potential delays, stock shortages, documentation gaps, and customer concerns.
- Implement management instructions on project priorities, installation bookings, contractor coordination, and customer follow-up.
- Monitor installer and contractor progress and reporting changes to work orders, project scope, or installation timing.
- Prepare project updates, installation summaries, outstanding works reports, and internal management reports.
- Compile and review project information, including timelines, completion outcomes, contractor performance, and outstanding documents.
- Support the improvement of project administration systems, including filing procedures, project tracking tools, document control processes, and workspace or resource arrangements required for project delivery.
Skills and Experience Required
- A relevant qualification in business, project management, management, administration or a related field
- Minimum 5 years work experience in project administration, project coordination, office operations support, etc.
- Strong organisational and time management skills.
- Strong attention to detail in document preparation and record keeping.
- Ability to use email, spreadsheets, CRM systems, project tracking tools and document management systems.
- Experience in solar, renewable energy, electrical, construction or trade services will be highly regarded.
