The Role

We are seeking a proactive and organised Service Administrator to join our team in Perth. In this role, you’ll support the Service Manager and broader team by coordinating service activities, maintaining accurate records, and ensuring smooth day-to-day operations.

This position is essential to maintaining seamless service delivery, ensuring jobs are scheduled, tracked, and completed accurately and on time.

What You’ll Be Doing

Coordinating service technicians and assisting with scheduling and job allocation
Monitoring job progress and updating service management systems
Liaising with technicians, subcontractors, and internal teams to ensure smooth workflow
Maintaining accurate service records, job data, and customer information
Preparing reports, job sheets, and documentation
Responding to customer enquiries via phone and email
Supporting invoicing and billing processes
Tracking performance against KPIs and SLAs

Your Skills, Experience & Attributes

Previous experience in administration or service coordination (preferably within a trade or service-based environment)
Strong Microsoft Office skills and ability to learn new systems
Excellent written and verbal communication skills
High attention to detail and strong organisational skills
Ability to manage multiple priorities in a fast-paced environment
Professional phone manner and customer service skills
Proactive, positive attitude with a team-first approach
Experience scheduling field technicians or service staff (desirable)
Exposure to SLA/KPI-driven environments (desirable)
Experience within HVAC, mechanical, or trade services (desirable)
Full working rights in Australia (essential)
