The opportunity
We are looking for a capable, organized Service Administrator to join our Plumbing Service team. This role is the engine room of the department, coordinating bookings, allocating work, and keeping jobs moving from setup through to invoicing, while maintaining strong communication with clients and our field team.
You will report to the Service Coordinator and work closely with the Contracts Manager and Service Manager to deliver efficient scheduling, accurate job administration, and consistent client outcomes across long term contracts.
Key responsibilities:
- Coordinate and schedule plumbing jobs across our client base
- Manage bookings, timesheets, and job allocation to support efficient delivery
- Communicate with clients and trades to confirm timing, access, scope, and updates
- Administer jobs from setup through to completion and invoicing
- Invoice completed works, including email invoicing and submissions via client portals
- Monitor and support achievement of client and internal KPIs, including tracking rectifications and communicating outcomes
- Develop and maintain strong client relationships to support contract performance and growth
- Work within multiple client systems and portals to meet external requirements and KPIs
- Complete day to day department administration, supporting the Contracts Manager, Service Manager, and Service Coordinator
- Data entry and preparation of weekly and monthly reports as required
- Adhoc administration tasks to support the wider service team

Required skills
- Prior administration experience, ideally in a trade, service, or contracting environment
- Ability to work effectively as part of a team, and independently when required
- Confidence learning and working across multiple client portals and systems
- Experience with simPRO is beneficial, but not essential
- Reliable, with strong attention to detail and consistent follow through
This is a full-time role, Monday to Friday required between the hours of 7.30am-4.00pm.
