What this opportunity involves: Working with JLL's new client in Melbourne as a Receptionist, you will play a key role as the first point of contact for all incoming calls, employees, and visitors. This position ensures every interaction is seamless, welcoming, and professional, representing both JLL and our client with excellence. You'll be at the heart of the workplace experience, managing everything from reception duties and meeting room coordination to vendor relationships and facility communications. An overview of the role:
Provide high standards of service delivery face to face, via telephone, and email communication
Manage the facilities inbox/helpdesk, responding to inquiries and resolving issues promptly
Ensure client requests and inquiries are actioned and answered in a timely manner
Maintain the reception area, workplace common spaces, and meeting rooms to ensure they are tidy and free of hazards
Coordinate bookings of meeting rooms and catering requests
Maintain office supplies inventory and place orders when necessary
Receive and sort mail and packages, including organizing couriers
Collaborate with the facilities team to report and address any building maintenance issues
Manage vendor relationships and on-site coordination for services such as cleaning, plant services, kitchen supplies, and routine maintenance works

Strong customer service and interpersonal skills
Ability to work collaboratively as part of a team while also working independently
Strong verbal and written communication skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
High attention to detail and excellent organizational skills
Ability to manage multiple tasks and priorities in a fast-paced environment
Previous experience in financial/investment banking services, hotel, or corporate reception/customer service role (preferred)
First Aid certification (preferred)
Experience managing facility-related communications and vendor coordination is highly regarded
