Full Job Description

Position Overview

The Personal Assistant provides high‑level administrative, organisational, and operational support to clinicians, practice managers, and multidisciplinary teams. This role ensures the smooth running of daily clinical operations, supports client care pathways, and enhances the efficiency of allied health service delivery.

Key Responsibilities: Administrative & Operational Support

Manage calendars, appointments, and schedules for allied health clinician.
Coordinate meetings, telehealth sessions, case conferences, and outreach clinics.
Prepare reports, correspondence, presentations, and documentation as required.
Maintain accurate client records, referral information, and data entry in practice management systems (e.g., Halaxy, Cliniko, MMEx).
Write up notes.

Client Coordination

Act as the first point of contact for clients, families, referrers, and external providers.
Provide warm, professional customer service and support client enquiries.
Help Manage intake processes, triage information, and coordinate waitlists.
Liaise with GPs, support coordinators, plan managers, and community organisations.

Clinical Team Support

Organise travel schedules, outreach visits, and mobile clinic arrangements.
Support quality improvement activities, audits, and compliance tasks.

Practice & Compliance

Uphold privacy, confidentiality, and clinical governance standards.
Ensure adherence to NDIS, aged care, and healthcare regulatory requirements.
Contribute to workflow improvements and operational efficiency initiatives.

Skills & Qualifications

Strong organisational and time‑management skills with the ability to prioritise competing tasks.
Excellent communication and interpersonal abilities.
Proficiency in allied health or medical practice software (Halaxy, Cliniko, Nookal, etc.).
Experience in healthcare administration, NDIS environments, or community health settings (preferred).
High attention to detail and a proactive, solutions‑focused approach.
