About You

We are looking for a Service Coordinator. This is a permanent role, based in our Mascot, NSW office, and reports to the Electra Office Manager.

In this role, you are customer-focused and responsible for representing Electra Lifts positively to existing and prospective customers. As a results-focused individual, you will continually seek to improve the provision of products/services to customers.

Your role includes the ability to positively influence the customer primarily through strong customer service focus and delivery of premium service to enhance our position as a market leader.

Key responsibilities

Weekly checking and preparation of timesheets for Service Manager approval.
Processing of chargeable calls (Bill without Cost - BWOC) ensuring that invoice and charging descriptions and are very clear. This will include obtaining POs from some customers to enable invoicing
Book T work jobs on the system upon order receipt and close T jobs on the system when the job is completed. This will include managing staged invoicing on larger T jobs.
Prepare customer reports as required (daily/monthly/quarterly) and ad-hoc admin work as required by the customers and the Electra team.
Upload and maintain customer portals ensuring that the information required to be uploaded is uploaded and the work orders within the portals are closed out efficiently.
Work with other Administrators, Sales Reps, Project and Service Managers to ensure customer requirements are being met.
Assist Sales Reps and Service/Project Managers with debt collection efforts.
Prepare credits (ECN’s) within the system as authorized by management.
Provides Annual Maintenance Statements and lift registrations as required for customers.
Identify process improvement opportunities and help facilitate continuous improvement to satisfy the customers of your processes

What you will need to be successful

Higher School Certificate (HSC)or relevant tertiary education.
Administration experience within the construction, engineering or elevator industry will be an added advantage.
Have 3-5 years experience in project coordination, customer service or administrative positions.
Strong verbal and written communication skills.
Good knowledge and aptitude on Microsoft and other IT platforms.
Team player, agile and adaptable
Has good time management abilities and able to multi-task.
