Executive Assistant | Temporary Maternity Relief ~ 0.5 FTE
An exciting opportunity exists for an Executive Assistant to support the Executive Team at Southern Highlands Private Hospital.
This position will provide high level administrative and secretarial support to ensure that the Hospital’s goals and objective are met.
We are looking for a high performing Executive Assistant who is outcome driven and ability to deliver quality administrative outputs in a fast-paced environment.
This role would suit an experienced Executive Assistant who is highly organised, with excellent stakeholder management skills.
The ability to manage a varied workload with a strong responsiveness and attention to detail will see you succeed in this role.
About the role
As part of the responsibilities of this position, Executive Assistant will manage the following:

Staff and VMO Communications (that originate from the office of the CEO)

Responsible for the scheduling, development of agendas and minutes for Committees
-
CEO diary management
-
Responsible for organising staff and key stakeholder events and programs
The successful applicant will be responsible for providing confidential and efficient coordination of administration services to ensure the flow of information to and from the office of the relevant Executive members. Other key tasks within this position will include:

Demonstrate the ability to prioritise workload so that tasks are completed effectively to a high standard safely and in a timely manner

Effective management of incoming and outgoing calls relating to the Executive Team and the Hospital

Effectively and efficiently liaise with all levels of staff, Medical Practitioners and various other organisations

Effectively and efficiently liaise with all levels of staff and various other organisations

Management and coordination of Doctor rosters
-
Prepare agendas and accurately maintain minutes and records for all events and scheduled meetings

Management of the diary and schedules of the Executive members
-
Prepare, format and deliver documents to the appropriate parties as directed

Plan and coordinate functions and special projects as required
This position will be a full-time permanent position reporting directly to the Chief Executive Officer whilst also taking direction from each Executive member.

To succeed in this role, you will have a professional and proactive approach and a commitment to ensuring the Administrative function of the Executive Office is effective and efficient.
We are looking for a candidate that has the following skills and experience:

Healthcare or Medical experience essential

Extremely organised and ability to coordinate processes and efficiencies within the Executive Office

Exceptional IT skills

High attention to detail

Advanced written and verbal communication skills

High level of emotional intelligence

Ability to work under pressure with high prioritisation skills

Ability to maintain confidentiality on all issues relating to the Hospital, customers and colleagues

Good at 'managing up' and strong influencing skills

Flexibility to meet the demands of the Hospitals
