NEP Australia is currently looking for an Administration Assistant/Receptionist to provide support and reception cover along with related duties to assist various departments within the company. You need to have a flexible attitude and be committed to always providing a high standard of customer service.

*** This is a Permanent Part Time position working every Tuesday, Wednesday and Thursday from 09:30am to 2:30pm, 15 hours per week **

Key Responsibilities:

Concierge:

Manage front desk operations
Acting as the face of the company and first point of contact for all clients, staff, contractors, and trades greeting and welcoming visitors and guests.
Managing the security pass system, issuing passes for new staff, clients, visitors and trades, ensuring everyone has completed their site induction
Managing incoming calls/emails and redirecting/actioning as appropriate.
Manage carparking for staff, visitors and trades on a weekly basis

Invoice Management:

Process facilities invoices and other general billing tasks like setting up vendors (working closely with the accounts payable team)

Office Administration:

Management of incoming and outgoing mail, including Australia Post, overseas/domestic and local couriers (despatch & incoming)
Management/replenishing/ordering of stationery, office, food & kitchen supplies for all staff. Proactively ensure all supplies are fully stocked. (and coordinate vendor services (e.g., fruit boxes).

Event support

Catering for client meetings, monthly site morning tea for birthdays

Workplace Safety:

Act as a First Aider and Fire Warden.

Required skills and attributes:

Immaculate personal presentation
Calm, confident, friendly, and professional demeanour
Reliable and punctual
Excellent communication and interpersonal skills
Good Microsoft Word skills and proficiency in Excel, PowerPoint and Outlook
Strong attention to detail
Ability to multitask and a positive 'can do' attitude
