About the Role

As a Customer Service & Bookings Officer, you’ll be the first point of contact for guests planning their visit or event with iPlay.

You’ll handle inbound enquiries, manage bookings, and support group sales, ensuring every interaction is seamless, friendly, and solution focused. You’ll also play a key role in coordinating events with venue teams, supporting follow-ups, and ensuring our guests receive an exceptional experience from the very first conversation.

This is a fast-paced, customer-facing role where accuracy, communication, and positivity are key.

Key Responsibilities

Customer Contact & Sales

Respond to inbound phone, email, and online enquiries about venues, attractions, and party packages
Make outbound calls to promote birthday parties and group bookings (schools, OSHC, sporting clubs, etc.)
Follow up on leads, quotes, and enquiries to convert bookings
Provide tailored recommendations based on group needs, budget, and availability

Booking Management

Create, update, and cancel bookings with a high level of accuracy
Manage schedules for group events and venue experiences
Send confirmations, invoices, and event communications
Coordinate add-ons such as catering, upgrades, and venue extras

Customer Experience & Communication

Deliver clear, friendly, and professional communication across all channels
Ensure every interaction reflects iPlay’s brand promise: Fun. Fast. Friendly.
Handle complaints or issues with empathy and a solution-focused approach
Escalate complex concerns appropriately to team leaders

Post-Event Engagement

Conduct follow-ups with customers after group bookings
Gather feedback and identify opportunities to improve the guest experience

Social Media & Online Engagement

Monitor and respond to public comments and messages on social platforms
Manage or escalate feedback in line with brand guidelines
Remove spam or inappropriate content where required

Finance & Administration

Prepare and issue invoices for group bookings and events
Communicate payment terms and follow up outstanding balances
Assist with finance queries by liaising with internal teams
Maintain accurate records of bookings, notes, and correspondence

About You

You’re someone who genuinely enjoys helping people and thrives in a busy, fast-moving environment. You bring a calm, organised approach and take pride in making things easy for customers.

We’re looking for someone who has:

At least 6 months’ experience in customer service, retail, hospitality, or administration
Strong communication skills and a natural ability to connect with people
Confidence using computers, booking systems, POS, or CRM tools
A positive, team-focused attitude
Strong attention to detail and organisational skills
The ability to stay calm and efficient under pressure
A passion for delivering excellent customer experiences
