Facilities Coordinator role:
Client/Stakeholder ManagementProvide superior customer service to meet on-site client’s expectations.
Liaise with base building management as required
Procurement & Vendor ManagementManagement of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works). Includes ensuring JLLOnsite inductions are completed. Full completion of Permit to Works Forms, SWMS, Insurances, and all supporting licenses / documents obtained prior to any works being undertaken or commencing.
Obtaining quotes from vendors.
Assist in the procurement of vendors and services as required.
Support with contract management into Jaggaer as required.
Finance ManagementAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner – both in JLL and client systems (applicable to all below finance points)
Analyse Corrigo Work order data and coordinate with FMs in other sites to summary the learnings, improvement opportunities and report.
Ensure that all invoices for all AU sites are submitted on time
Ensure prompt and accurate management of purchase orders in JDE and Corrigo.
Manage all invoices in Corrigo, request invoices from vendors, comply with approval requirements.
Follow up with any vendor enquiries and payment issues with the relevant teams.
Support Facilities manager with any additional reporting requirements.
Health & Safety ManagementThis role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
Event Support & Coordination as requiredArrange catering orders and delivery for office events, and assist the client where needed with event setup, i.e. seating arrangements, catering presentation.
Site Operations ManagementAssist in the implementation of Industry Best Practice operations.
Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.
Seek ways to reduce costs and improve operational standards.
Maintain premises in neat and good working condition.
Maintain office key and access card registers.
Maintain stock levels for pantry and office supplies.
Provide FM support for meeting room bookings where required.
Provide occasional support to other ANZ offices as needed, i.e., for interstate offices and or NZ office where no JLL staff are present or on leave.
Risk ManagementAssist in the implementation and management of property risk management program.
Support the implementation and monitoring of disaster recovering and business continuity plans.
Follow established escalation procedures and incident reporting procedures.
Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies.
Achieve Key Performance Indicators and Service Level Agreement targetsAim to achieve performance targets set regionally to comply with SLAs set for account.
Any other responsibilities / tasks provided by the Facilities Manager as may be required
What you will bring:
Prior experience in facilities, property management, hospitality or related field preferred.
Knowledge of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.
Understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system) is advantageous.
