POSITION SUMMARY
A fantastic opportunity is available for a Senior Secretary / Team Leader / Deputy Practice Manager to join our team working from our newly renovated building in Hawthorn. We are seeking a candidate on a full-time basis with the opportunity for career progression. As a senior secretary you will work on site with frequent interactions with patients, healthcare providers and support staff. You will lead a successful administrative team to achieve the goals of the practice.

You will be naturally team focused, possess astute attention to detail and are proactive in problem solving and practice growth. Previous experience as a medical secretary in a psychiatry clinic is essential. Your professional toolkit of skills will include efficiency and process improvement, proficient IT skills and the ability to resolve common issues and strong leadership.
KEY RESPONSIBILITIES
· Assist with staff employment and rosters
· Assist with staff training
· Lead patient service excellence within the team
· Perform and oversee multiple aspects of general administration and day-to-day secretarial duties
· Ensure billings are accurately reconciled and assist with financial management
· Develop and maintain effective risk management processes and workplace safety
· Ensure all regulatory, governance and compliance requirements are met
· Assist the Practice Manager with their duties and provide cover when they are on leave
REQUIREMENTS
· Proven experience working in a medical clinic or similar environment in a senior role
· Tertiary qualifications in business management, administration or similar is highly desirable but not essential
· High level of computer literacy including proficiency with MacOS and Microsoft Office
· Ability to efficiently type dictated letters
· Ability to manage multiple priorities
· Ability to work autonomously as well as part of a team
