About the Role
We're looking for a Senior Allied Health Admin Assistant to join our Sunshine Coast team.
As the first point of contact, you'll play an important role in creating a warm, positive experience for every client while supporting the smooth day-to-day flow of our allied health clinic.
You'll work closely withour clinicians and director to help keep the clinic running smoothly.
Key Responsibilities
Reception & Client Experience

Welcome clients and visitors in a warm, professional manner
- Manage incoming calls, emails, and enquiries
- Book and coordinate appointments across clinicians
- Maintain a calm, organised, and welcoming clinic environment
Administration
-
Manage clinician diaries and scheduling
- Process payments, invoices, and billing enquiries (NDIS, Medicare, DVA, Aged Care, private)
- Support referral intake in line with established procedures and direct enquiries appropriately
- Assist with client communications and documentation
- Maintain accurate records in medical records & booking systems, such as Splose
- Ensure efficient and effective day-to-day administration, including data entry, inbox management, forms, document control, reporting, and clinic supplies
About You

Minimum 2+ years of previous senior reception, administration, or customer service experience required
- Certificate III or higher in allied health, administration/business or similar qualification relevant to the role
- Confident using Microsoft Office, SharePoint or similar
- Experienced with client management software (e.g. Cliniko, Splose)
- Familiar with Medicare, NDIS, and private health billing processes
- Healthcare, allied health, or NDIS clinic experience is highly regarded
- Excellent verbal and written communication skills
- Strong organisation and time-management skills, with close attention to detail and accuracy

- Current First aid and CPR certificate
- NDIS Worker Orientation Module
- Working with Children Check (Qld Paid Blue Card)
- Satisfy National Police Check
