As we grow, we are looking for a hands-on, systems-savvy Business Improvement Manager who thrives on turning complexity into clarity, and who knows that the difference between good intentions and great outcomes is operational discipline.

About the role:
This is a six-month fixed-term contract, established to drive a defined body of transformation work across the business. Reporting to the GM Operations and accountable to a Project Steering Committee of ELT members, you'll lead two interconnected priorities: the successful implementation of our new CRM and the rollout of AI-enabled tools across the business. Alongside that, you'll partner with operational and functional teams to close process gaps, lift data integrity, and embed the frameworks that allow us to deliver compliant, high-quality NDIS services at scale.
You'll work shoulder-to-shoulder with Area Managers, Rostering Leads, Finance, Quality and Risk, Clinical, Transitions, and Business Development. This is a role with genuine reach across the organisation, and the mandate to drive change within a focused delivery window.
Key responsibilities include:
- Leading end-to-end delivery of our CRM implementation, from vendor selection through to go-live and post-implementation review, with full project, risk, and budget ownership.
- Driving the rollout of AI-enabled tools that improve documentation quality, data capture, and operational efficiency, while keeping outputs accurate, compliant, and clinically safe.
- Mapping current-state processes, identifying gaps, and designing future-state workflows that align with system capability and NDIS best practice.
- Building dashboards and reporting frameworks that give leadership real-time visibility over occupancy, staffing, rostering, and other operational metrics that matter.
- Partnering with frontline leaders to develop practical, plain-language SOPs, replacing documents that are theoretical with ones that work on the floor.
- Leading the rostering-related requirements for the CRM, ensuring the system reflects real operational workflows.
- Designing and executing change management strategies that bring people along rather than leaving them behind.
- Working closely with the Quality and Risk team to ensure every system, process and SOP is designed with NDIS compliance built in, not bolted on.
About you:
- A genuine AI advocate. You don't just talk about AI, you actively use it, experiment with it, and know how to apply it responsibly to operational problems.
- Tertiary qualifications in Project Management, Business Administration, Information Systems, or a related field.
- At least four years' experience leading system implementation or digital transformation projects, ideally in complex, multi-site environments.
- Strong business analysis and process mapping skills, with the ability to translate operational reality into system requirements.
- Demonstrated change management experience, including the design and delivery of communication and training plans.
- Confident with data, you've designed or improved data collection processes and built reporting that leaders use.
- A collaborator who works well across cross-functional teams, and an independent operator who can deliver without needing close supervision.
- Clear, confident communicator, equally at home in a Steering Committee meeting and a rostering huddle.
- Available to commit to a six-month engagement and able to hit the ground running.
Highly Desirable:
- Certification in project management (PRINCE2, PMP, Agile or Scrum), change management (Prosci/ADKAR), or business analysis (Lean Six Sigma, BABOK).
- Experience implementing CRM, HRIS, rostering, or care management systems, particularly in disability or aged care.
- Familiarity with AI-enabled tools for documentation, workflow automation, or data analysis.
- Familiarity with NDIS Practice Standards and the Quality and Safeguards Framework.
- Prior experience in an NDIS-registered provider or similarly regulated environment.
