The Opportunity
We are looking for an Office Services Coordinator to support the smooth running of our Melbourne office while providing support across our Perth, Brisbane, and Sydney locations.
Reporting to the Group Facilities Manager, you will be the go-to person for office operations; creating a welcoming front-of-house experience, managing day to day services, and ensuring everything runs seamlessly across multiple sites.
This is a hands-on, highly visible role suited to someone organised, proactive, and confident working independently.

Working pattern:

Monday–Friday, 9:00am–5:00pm
Full-time, office-based (Melbourne)

What you will be doing
Reception & Front of House (Melbourne)

Welcome visitors and manage reception
Coordinate meeting rooms, including setup and catering
Handle incoming and outgoing mail and general admin

Office Services (National support)

Manage cleaning contractors and maintain office standards across all locations
Order and manage stock levels of office supplies
Coordinate catering, events, and team functions
Manage security passes, couriers, and mail services
Liaise with contractors, landlords, and maintenance providers
Support helpdesk requests and workspace allocations

Health & Safety (training provided)

Support risk assessments and maintain H&S documentation
Assist with DSE processes and reporting
Act as First Aid Officer and Fire Warden
Promote safe workplace practices across all offices

What you will bring

Strong organisational skills with the ability to prioritise a varied workload
A proactive, solutions-focused mindset
Excellent communication skills and stakeholder engagement
Experience supporting office operations or managing suppliers (preferred)
Ability to work independently in a standalone role
Basic understanding of Health & Safety (or willingness to learn)
Proficiency in Microsoft Office (Word & Excel)
