We are seeking a highly organised, proactive and polished Office Manager to support the day-to-day operations of our office and create an exceptional workplace experience for employees.

This role is responsible for ensuring the office runs seamlessly across workplace operations, hospitality, team support, onboarding, events and vendor coordination. The ideal candidate thrives in a fast-paced environment, enjoys balancing operational responsibilities with people-focused support, and takes pride in delivering a professional and welcoming office experience.

Working closely with the Executive Assistants, this role will also have exposure to supporting the Co-Founder and Co-CEOs with ad hoc coordination and administrative support as required for them.

Previous experience in office coordination, workplace experience, administration or hospitality preferred.
Exceptional organisational and multitasking skills.
Strong communication and interpersonal abilities.
High attention to detail with a proactive and solutions-focused mindset.
Ability to prioritise competing tasks in a fast-paced environment.
Comfortable working across multiple teams and stakeholders.
Experience with Google Workspace, Microsoft Office and ticketing systems (e.g. Jira) preferred.
Experience coordinating vendors, catering or events is highly regarded.

Manage the smooth day-to-day operations of the office and overall workplace experience.
Coordinate breakfast and lunch catering, kitchen operations, coffee cart management and weekly office supply ordering.
Maintain office organisation including seating plans, desk allocations, meeting room readiness and workspace arrangements.
Coordinate office access requirements including building passes, locker allocations, bike/storage tags and associated request forms.
Manage office supplies, stationery, equipment ordering and vendor relationships.
Oversee meeting room setup for internal and external meetings, including refreshments, technology setup and presentation readiness.
Assist with planning and coordinating team events, culture initiatives, celebrations and offsites.
Support travel coordination for team members and leadership, including itinerary preparation and liaison with travel providers.
Work closely with the Executive Assistants to support broader administrative and operational requirements across the business.
Provide ad hoc support to senior leadership, including the Co-Founder and Co-CEOs, as required.
Support onboarding and offboarding processes including desk setup, equipment coordination, swag packs and return of company assets.
Act as the key liaison between the office and IT department for Jira tickets, equipment requests and in-office technology support.
Coordinate equipment setup, replacements and basic troubleshooting support for employees.
Manage office operational expenses and vendor invoices including utilities, HVAC, catering and workplace services.
Represent IREN in workplace safety initiatives including fire warden coordination, building training participation and ensuring adequate team coverage across safety representatives.
Build strong relationships across teams, vendors, building management and external stakeholders to ensure a seamless office environment.
