Western Private Hospital, located in Footscray, is a 62-bed private acute hospital and is the longest serving private hospital in Melbourne’s west providing much needed services to the people in the expanding North West and Western regions of Melbourne and surrounding areas.
WPH’s facilities include four Operating Theatres, CSSD, Day Procedure Unit, Day Oncology Unit, Overnight Ward for CCU, HDU, Surgical & Medical patients, Cardiac Catheter Laboratory, Specialist Consulting Suites, PET Centre/Nuclear Medicine and supported by pathology, pharmacy, radiology and radiation therapy services.
About the Role
We’re looking for a dedicated and experienced Payroll Officer to join the team at WPH, working on-site in the office in Footscray , on a permanent part-time basis 2-3 days per week. You will work collaboratively to ensure compliance with all relevant regulations and provide an exceptional payroll service.
The successful candidate must work Mondays and Tuesdays for fortnightly payroll, with flexible hours available on non-processing days.
Working alongside the Payroll Coordinator, this role requires a payroll specialist who will be responsible for providing accurate, timely and efficient payroll services at WPH in accordance with relevant Awards, Agreements and legislative requirements. You will be expected to support the payroll function and work additional days to cover when the Payroll Coordinator is on leave.
The key responsibilities and duties for the role will include (but not be limited to):
Facilitating the end-to-end processing and administration of fortnightly payroll for approx. 250 employees accurately, efficiently and in a timely manner in accordance with instructions, agreed expectations and best practice to ensure precision and integrity of payroll data
Performing full function payroll tasks including onboarding; maintaining & updating employee records; auditing & reconciliations; termination calculations and payments; Superannuation and ATO reporting; managing Centrelink Paid Parental Leave payments and Workers Compensation payments
Accurately interpreting, coding & processing manual timesheets and payroll exceptions via iChris , checking of timesheet data including the running of reports, as well as the reconciliation/verifying of payroll results and data to ensure the integrity and reconciliation for leave balances and back pays
Collaborating with HR regarding interpretation of enterprise agreements / awards, onboarding, employment contracts, payments and entitlements, and for process improvement strategies to streamline payroll processes
Calculation and preparation of manual payments, including termination, pay adjustments and redundancy pays
Resolving difficult enquiries and assisting in identifying payroll errors and implementing corrective action where required, to ensure employee payments are processed accurately and database integrity is maintained
Responding to payroll queries from employees, managers and external parties in a timely manner
About You
You are a passionate and talented individual with high level technical payroll expertise and an eye for detail, coupled with excellent customer service skills, a flexible attitude, willingness to adapt to new processes & technologies, and a commitment to delivering payroll on time.
You will thrive in a busy environment and will enjoy the challenge of working in an autonomous role, proactively and as part of a supportive team across Payroll, HR and Finance, with the ability to maintain high-quality organisational standards and attention to detail while working efficiently under pressure.
You will have exceptional people skills and will work to quickly build positive relationships with staff and managers across WPH. Selection Criteria
Extensive payroll experience with end-to-end payroll experience in a medium-large and complex organisation – healthcare sector experience is essential
Experience with complex payroll software – use of iChris / Chris21 is highly regarded
Substantial levels of comfort around interpreting Awards and Enterprise Agreements with complexity and ambiguity and how they apply in a shift-based workforce and providing advice on queries
Working knowledge of Australian employment and payroll legislation, payroll tax, PAYG, Superannuation
High proficiency in MS Office skills – intermediate Excel (inc. VLOOKUPS, Pivot Tables)
Excellent time management and organisational skills to manage priorities and meet strict processing deadlines
A proactive and adaptable mindset, with a focus on continuous improvement and problem-solving
Strong interpersonal and communication skills with the ability to resolve employee queries efficiently and empathetically
Exceptional attention to detail and data inputting with high levels of accuracy ensuring compliance
Ability to maintain confidentiality, sensitivity and integrity across all aspects of the role

Requirements:

Must provide a National Police Check conducted within the previous 6 months and evidence of Australian Residency / Full Working Rights such as Australian passport, birth certificate, citizenship or VEVO/Visa Grant Details (No Sponsorship available)
Must have yearly Influenza vaccination (subject to reasonable exemptions per WPH policy) and provide proof of immunisation against, or immunity to, infectious diseases as required per the Health Services Act 1988 (Vic)
