What this opportunity involves:
You will provide day-to-day administrative support to the shopping centre management team, helping keep the centre office running smoothly and supporting tenant, customer, contractor, and internal coordination. This role is the key point of support for office administration, records, communications, and routine coordination that enables the team to focus on delivering a great shopping centre experience. Key Responsibilities include:

Provide general administrative support to the Centre Manager and shopping centre team (diary management, meeting coordination, minute taking, filing, and correspondence).

Manage office communications (phone, email, mail, and stakeholder enquiries) and direct requests to the right person.

Maintain office systems and records, including document control and versioning for centre files, procedures, and reporting packs.

Coordinate office supplies, stationery, and basic purchasing; track orders and ensure the centre office is appropriately stocked.

Support facility-related admin tasks such as logging requests, following up actions, and coordinating with internal teams/vendors as required.

Assist with reporting support (collating data, formatting documents/presentations, and distributing updates).

Support centre activities such as event/admin coordination (booking rooms, sending communications, arranging access/permits documentation as required).
Sounds like you? This is what we're looking for:

Experience in an administrative support role (office administration, team assistant, or similar).
-
Strong coordination and communication skills (written and verbal).
-
Confident using common business systems (email, calendars, documents/spreadsheets) and maintaining accurate records.

Strong attention to detail and ability to manage multiple tasks and deadlines.
-
Experience in property/shopping centre/retail operations (or a similarly fast-paced site environment) is preferred.
-
Experience supporting vendor/contractor coordination and basic purchasing/invoice admin is a plus.

Experience preparing meeting minutes and reporting packs is desirable.

Intermediate level competency in Microsoft Office (Word, Excel, PowerPoint, Outlook) is advantageous.
