Full Job Description

The Office Manager is responsible for overseeing the administrative and operational functions of the clinic. This role will ensure the efficient day-to-day running of the business, support the implementation of systems and processes, and contribute to business growth through improved operational performance and patient service delivery.

This is a key position within the organisation and will work closely with the Directors to support the ongoing development and expansion of the clinic.

Key Responsibilities

Operations Management

Oversee the daily administrative operations of the clinic, ensuring efficiency and continuity of services
Develop, implement, and monitor office systems, policies, and procedures
Manage clinic workflows, scheduling systems, and patient service processes

Financial & Business Support

Assist with budgeting, expense tracking, and financial reporting
Monitor revenue performance and identify opportunities to improve operational efficiency
Support business development initiatives aimed at increasing patient engagement and clinic utilisation

Staff Coordination & HR Administration

Coordinate administrative staff, including rostering and task allocation
Assist with recruitment, onboarding, and staff training processes
Maintain personnel records and support general HR administration

Stakeholder & Client Management

Liaise with patients, healthcare providers, and external stakeholders
Maintain high standards of client service and communication
Support referral pathways and relationships with external providers

Compliance & Governance

Ensure compliance with workplace health and safety requirements
Maintain accurate records and documentation in line with regulatory requirements
Support implementation of internal policies and procedures

Skills and Experience

Minimum 3 years’ experience in office management, operations coordination, or similar administrative leadership roles
Demonstrated ability to manage business operations and improve systems and processes
Strong organisational and time management skills
Excellent communication and interpersonal skills
Experience in healthcare or allied health environments will be highly regarded

Business Development & Revenue Growth

Identify, develop, and implement strategies to increase clinic revenue and patient utilisation
Build and maintain referral relationships with external stakeholders, including general practitioners, specialists, gyms, and allied health providers
Monitor clinic performance metrics, including patient numbers, conversion rates, and service utilisation
Develop and implement initiatives to improve client retention and engagement
Support marketing and promotional activities to drive new patient acquisition
Identify new service opportunities and revenue streams to support business growth
Work closely with Directors to implement growth strategies aligned with the clinic’s business objectives
