The Opportunity – Advice Services Coordinator

We are looking for an organised and detail-oriented Advice Services Coordinator to join our team and play a key role in the smooth delivery of our advice creation activities.

In this role, you will be responsible for managing our advice document workflow from end to end — reviewing incoming advice document requests for completeness and quality, coordinating timelines, and ensuring documents meet our internal standards before progressing through the process. You will also serve as a first point of contact for adviser queries, providing practical support and guidance to help our advice team work efficiently.

A sound understanding of compliance requirements for retail clients is essential, including familiarity with the obligations under the Corporations Act and ASIC regulatory guidance as they apply to the provision of personal advice. You will be comfortable identifying when documentation meets the required standard and confident in communicating constructively with advisers when it does not.

This role suits someone who thrives in a fast-paced environment, takes pride in quality, and enjoys being a reliable support to a busy advice team.

Key Responsibilities

Manage the end-to-end SoA workflow pipeline, ensuring work is prioritised effectively and delivered within agreed timeframes
Act as the primary liaison between Private Wealth Advisers and paraplanners to enabling clear communication and seamless delivery
Validate and uplift client related information, ensuring it is complete, accurate, and ready for SoA production, while working closely with advisers and their support staff to improve upfront quality, reduce rework, and drive faster turnaround times
Review Statements of Advice to ensure they are:

Technically accurate
Fit for purpose and aligned to client objectives
Compliant with regulatory requirements

Identify and implement opportunities to streamline processes and enhance collaboration across advisers and external partners

Strong working knowledge of Xplan and its application within advice processes
Solid expertise in Statement of Advice (SoA) preparation and review, including compliance obligations and best interest duty requirements
Proven ability to manage high-volume workflows while maintaining accuracy and quality in a fast-paced environment
Understand the importance of communication and collaboration in achieving high quality outcomes
Strong problem-solving skills, with the ability to identify issues, implement improvements, and enhance efficiency and turnaround times
Demonstrated experience working collaboratively with multiple stakeholders, including advisers and external providers
Exceptional attention to detail, with a consistent track record of delivering accurate, high-quality and compliant documentation
