About the Business

NDIS Business Brokers is a specialist brokerage operating nationally in the sale and acquisition of NDIS-registered businesses. We facilitate transactions between sellers and buyers across both shell NDIS registrations and fully operational providers, a niche, high-value market with a structured and rewarding deal process.

The business is growing and we are bringing on a Transaction Manager to take ownership of the administrative pipeline from deposit through to settlement, so the broker can focus on deal sourcing, negotiations, and client relationships.

About the Role

This is a part-time hybrid position based in Brisbane, working 3 days per week. The work is almost entirely email and document-based, with flexibility to work remotely on most days and come in when needed.

You will be the operational backbone of every active deal, keeping things moving, chasing outstanding documents, coordinating with solicitors and accountants, managing due diligence timelines, and making sure nothing falls through the cracks across 12 to 15 concurrent transactions.

This is not a generic admin role. You will be dealing with commercially sensitive transactions and real money. We need someone who is organised, professional, and takes ownership of their responsibilities without constant supervision.

What You Will Be Doing

Managing the deal pipeline from deposit stage through to completion, including due diligence, agreement execution, NDIS/PRODA transfer coordination, and settlement.
Owning the due diligence document collection process, sending initial document requests, tracking what has been received, identifying what is outstanding, and chasing parties in a professional and persistent manner.
Handling front-end buyer enquiries, sending registration forms, managing confidentiality agreements, issuing listing packs to qualified buyers, and following up on outstanding returns.
Coordinating PRODA transition meetings and ASIC transfer documentation for share sale transactions.
Sending templated communications on behalf of the broker at each deal stage and drafting status update emails to keep buyers and sellers informed.
Maintaining the deal pipeline tracker, ensuring all active deals are accurately staged and outstanding actions are documented and followed up.
Liaising with solicitors and accountants on both sides of each deal to coordinate document exchange and milestone tracking.
Managing the email inbox, filing, categorising, and flagging priority items for the broker's attention.

What We Are Looking For

2 to 3 years of experience in a high-correspondence, document-intensive administrative role. Backgrounds in conveyancing, mortgage broking support, commercial legal secretary work, or business brokerage administration will translate directly.
A process-driven mindset. You follow checklists, you notice what is missing, and you act on it without being asked.
Strong professional written communication. You will be corresponding with buyers, sellers, solicitors, and accountants on behalf of the business. Your emails need to be clear, measured, and commercially appropriate.
Discretion and judgement. All deal information is commercially sensitive. You will be trusted with financial data, legal documents, and confidential party details.
Persistence without aggression. A significant part of this role involves chasing parties for outstanding documents and actions. You need to do this effectively while maintaining good working relationships.
Competence with email management, document handling, and ideally a CRM or deal tracking tool. Experience with Google Drive, shared folder structures, and digital document management is a strong advantage.
No prior NDIS knowledge is required. The regulatory process (PRODA, NDIS Commission transfers, ASIC coordination) is learnable and will be fully trained. What cannot be trained is organisational discipline and professional communication.

Employment: Part-time, 3 days per week (approximately 22 to 24 hours)

Location: Hybrid, Brisbane-based with flexibility to work remotely

Salary: $65,000 to $75,000 pro-rata + superannuation (based on experience)

Start date: Immediate start preferred
