About

The Role

A.G. Coombs is seeking an experienced Project Administrator to support the delivery of projects across the Projects, Estimating, Commissioning and Drafting functions within the Specialised Contracts Division (SCD).

The role is responsible for coordinating and supporting project activities, maintaining accurate project documentation and reporting, and assisting Project Managers and operational teams to achieve successful project delivery outcomes across multiple projects and stakeholders.

Key Responsibilities

Coordinate and support project administration activities across multiple projects, ensuring project timelines, deliverables and administration requirements are maintained
Assist Project Managers with planning, coordination and tracking of project activities, project variations, deliverables and work programs
Respond to project related enquiries and assist in resolving project administration and coordination issues
Manage project documentation, records, drawings, registers, submissions, reports and compliance documentation
Work closely with Project Managers, engineers, contractors, suppliers, consultants and internal stakeholders to support project delivery outcomes
Assist in monitoring project progress, project costs, commitments, variations and project related risks
Support the preparation and review of project reports, progress claims, variation registers and project correspondence
Assist with contractor coordination activities and tracking variations to work orders and project change.
Collect, maintain and analyse project related data and assist with reporting on project outcomes and performance metrics
Coordinate meetings, communication and follow up of project action items
Support practical completion, warranty, retention bond and project close out administration activities
Ensure compliance with company systems, WHS requirements, quality standards and project procedures

Skills and Experience

Minimum 5 years administration experience
Demonstrated experience in project administration, project coordination or similar role
Exposure to project delivery, contract administration or project coordination within the building services or construction industry
Intermediate to advanced Microsoft Office skills
Strong organisational skills with the ability to manage competing priorities and deadlines
Strong written and verbal communication skills
High attention to detail and ability to maintain accurate project documentation and reporting
Ability to liaise effectively with Project Managers, contractors, suppliers, clients and stakeholders
Understanding of project cost control and scheduling principles
Tertiary qualifications in Business Administration, Project Management or a related discipline will be highly regarded
