Part time, 4 days (28hrs per week) 12 months fixed term position. Located at Services Building (G12) on Darlington Campus
Use your administrative skills to provide high quality support to the Campus Master Plan program
Base Salary HEO5 $89,755 p.a. (pro rata) + 17% superannuation

About the opportunity

The University of Sydney is welcoming applications for a motivated and experienced Administration Officer to join a small team within University Infrastructure (UI) and deliver high-quality administrative support to the Campus Master Plan program. The Campus Master Plan will establish a long-range campus vision, strategic framework and series of campus-wide strategies that integrate campus experience, public realm, built form and space planning, innovation and enterprise, development and capital investment planning with academic purpose, sustainability, community impact and cultural values.

The Administration Officer role will support the UI Campus Master Plan team to sustain program discipline and momentum through effective coordination of multiple consultants, timely information management, contract administration support and extensive University-wide stakeholder engagement via meetings, workshops and online activities.

The expectation of this role is to be in the office a minimum of 3 days per week.

Your key responsibilities will be to:

provide calendar and meeting management for the Program Director and Program Manager as required
support preparation of briefings, status reports, dashboards, and presentations for internal leadership and external stakeholders
coordinate an extensive program of University-wide stakeholder meetings, consultant meetings, workshops, working groups, and site walks; manage logistics, RSVP tracking, and pre-read distribution
log and track Requests for Information (RFIs), meeting actions, and deliverables against contractual obligations and program stage gates
ensure document control and information governance are compliant with university policy and audit requirements
prepare agendas, attend meetings, assist with taking and issuing minutes and following up on key actions.

About you

certificate IV - In a relevant field or an equivalent combination of relevant training and experience
demonstrated ability in supporting and coordinating strategic projects and complex multi-stakeholder initiatives to deliver outcomes within agreed time frames
demonstrated ability to build and maintain productive relationships with a range of internal and external stakeholders
excellent and accurate administrative skills, coupled with some understanding of project planning
proficient use of Microsoft 365 Work Suite including SharePoint
provides secretariat support, including meeting planning, development of agendas and taking minutes, ensuring that appropriate actions and follow-up are carried out
some experience is preferable in capital projects, estate planning, architecture, design, or construction environments, including exposure to procurement processes in public/University contexts.
