Job Summary:

The Investment Administration Officer (Rebates) is a key member of the Investment Operations team, responsible for ensuring the accurate processing, reconciliation and management of investment rebates and cash movements. The role works closely with internal stakeholders and external fund managers and portfolio providers to ensure rebates are received, validated and reported correctly, while also supporting cash reconciliations and contributing to process improvement initiatives.

Responsibilities:

Process and validate rebate payments from fund managers, portfolio providers and other counterparties.
Investigate and follow up on rebate discrepancies, delays or exceptions.
Onboard and maintain rebate agreements and act as a key point of contact for rebate-related matters.
Perform cash reconciliations, including allocation of receipts, investigation of unknown deposits and handling unclaimed monies.
Process cash transactions such as direct debits, EFT and BPAY payments, and manage SuperStream allocations and rejections.
Maintain accurate records and update administration systems relating to rebates and cash movements.
Liaise with internal teams (e.g. Product, Legal, Compliance, Finance, Client Services, IT) and external stakeholders (Fund Managers, Portfolio Providers, advisers and service providers).
Contribute to ad‑hoc projects and identify opportunities to improve and streamline processes.

Requirements:

2–3 years’ experience in Financial Services.
Strong knowledge of managed funds, Australian securities and fee rebate structures.
Understanding of Australian banking, payment processing and cash operations.
High attention to detail with strong problem‑solving and reconciliation skills.
Confident communicator with the ability to build strong working relationships and influence outcomes.
Comfortable working in a fast‑paced environment with competing deadlines.
Alignment with HUB24 values, including collaboration, integrity and continuous improvement.
