Full Job Description

Receptionist needed to join our friendly team at our GP/Specialists medical practice.

We are looking for someone who is computer literate, has good phone skills and experience in medical reception is an advantage.

Day to day responsibilities include:

Welcoming clients and families and providing outstanding customer service
Answering patient queries;
Checking in patients;
Managing incoming calls, emails, and appointment bookings
Processing payments, Medicare claims, private health fund claims, and NDIS transactions (If any)
Maintaining accurate patient records and documentation
Assisting clinicians and management with general administrative tasks
Supporting efficient practice operations and contributing to a positive team culture
Submitting private billing on portal.
Setting up clinicians room's in the morning.

The role requires:

As the first point of contact for our practice, you will play a vital role in creating a positive experience for our clients while supporting the smooth day-to-day operation of the clinic.

-We are seeking a professional, compassionate, and highly organized Receptionist to join our friendly administration team in our Westmead office. You're not just answering phones, you're creating calm out of chaos, turning anxious moments into reassuring experiences, and keeping our Healthcare Centre running like clockwork.

-Your day will be dynamic: coordinating appointments, connecting patients with the right care team, answering questions with confidence, and ensuring everyone who walks through our doors feels heard and helped. You'll be the vital link between our patients and medical staff, making sure nothing falls through the cracks and everyone gets the support they need, when they need it.

*This is a casual part-time position offering flexibility and the opportunity to work within a collaborative and supportive workplace.

Previous reception, administration, or customer service experience (minimum 1 year preferred)

Desirable Skills & Experience

Previous experience in a medical, allied health, or Specialists centre
Knowledge in MS Excel, Word
Experience in medical software Medical Director Clinical and Pracsoft is essential
Understanding of Medicare, and private health claiming processes
Excellent communication and interpersonal skills
Strong organisational and time-management abilities
High attention to detail and accuracy
Proficiency with Microsoft Office (Word, Excel, Outlook)
Ability to work independently, multitasking and use initiative while contributing to a team environment

The role is 2 to 3 days per week, with flexibility to cover holiday relief and sick cover preferable.
