Due to continued growth, we are seeking an experienced and compassionate Medical Receptionist to join our dynamic team.
In this pivotal role, you will be the welcoming face and voice of PainAid, serving as the first point of contact for patients, Pain Specialists, allied health professionals, insurers, and other key stakeholders. Your professionalism, organisation, and attention to detail will help ensure every patient receives a positive and seamless experience.
Working closely with our clinical and administrative teams, you will play an integral role in the smooth day-to-day operation of our busy specialist practice across our Kogarah and Liverpool clinics. Majority of the work with be at Liverpool clinic, Kograh is one day a week. As travel between both locations is required, flexibility and the ability to work across multiple sites are essential.
This is a full-time position, working Monday to Friday. Previous experience in medical reception, specialist practices, or healthcare administration will be highly regarded and will help you transition smoothly into the role. The position involves a range of traditional medical reception duties, including appointment scheduling, patient enquiries, managing referrals and correspondence, liaising with healthcare providers and insurers, processing payments, and supporting the overall administration of the clinic.

Key Responsibilities
- Manage complex specialist diaries, appointment scheduling, and patient coordination across multiple clinicians and locations.
- Coordinate theatre bookings, procedural lists, hospital admissions, and follow-up appointments.
- Process billing, invoicing, Medicare claiming, and daily financial reconciliations.
- Manage third-party funding arrangements, including Workers Compensation, CTP, rehabilitation providers and private insurers.
- Liaise professionally with patients, Pain Specialists, allied health clinicians, case managers, insurers, employers, hospitals, and referring practitioners.
- Maintain accurate patient records and ensure data integrity within the Gentu practice management system.
- Provide high-level administrative support to Pain Specialists and allied health clinicians.
- Assist with referrals, approvals, recalls, correspondence, patient enquiries, and clinic workflow management.
- Ensure compliance with privacy, confidentiality, and clinic policies and procedures.
- Travel between PainAid's Kogarah and Liverpool clinic locations as required.
This role requires someone who can confidently manage competing priorities, work independently, and maintain a high level of professionalism, accuracy, and attention to detail in a fast-paced specialist medical environment.

Highly Desirable
- Previous experience in medical reception, healthcare administration, or a specialist medical practice.
- Experience using Gentu practice management software.
- Experience coordinating theatre bookings, procedural scheduling, and hospital admissions.
- Understanding of SIRA, Workers Compensation, CTP, and insurer administrative processes.
- Experience working within a specialist medical, pain management, orthopaedic, rehabilitation, or multidisciplinary healthcare setting.
- Knowledge of Medicare billing, private health funds, and third-party funding arrangements.

Pay: $25.74 – $27.79 per hour
