The Office of Sport is looking for a capable and organised Executive Coordinator to support the Executive Director, Centres & Venues.

This is a busy, hands-on role at the centre of a complex operational environment, working across centres, venues, customer operations and asset management. You will work closely with Directors and senior stakeholders, helping ensure priorities stay on track and the Executive Director’s office runs smoothly.

About the role

As Executive Coordinator, you will provide day-to-day executive and administrative support across a wide range of activities. The environment is fast-paced, priorities can shift quickly, and there is a steady flow of competing requests.

Your role is to bring structure, organisation and responsiveness - helping the Executive Director manage their time, stay across key issues, and maintain momentum across the portfolio.

In this role, you will gain exposure across a diverse portfolio and work closely with a new leadership team, in a role where your support makes a practical, day-to-day difference.

Your day-to-day

This is a demanding role where no two days are the same. You will be managing competing deadlines, responding to changing priorities, and working across a broad group of stakeholders.
Act as a key point of contact, managing incoming requests and helping prioritise competing demands
Coordinate a high-volume diary, meetings, travel and correspondence in a constantly changing environment
Prepare and support briefings, submissions and communications, often within tight timeframes
Gather, organise and track information to support meetings, decisions and follow-ups
Maintain and improve administrative processes to keep work flowing efficiently
Build practical working relationships across teams to help navigate issues and keep communication moving

About You

This role will suit someone who is comfortable working at pace, enjoys staying organised in a busy environment, and takes pride in helping things run smoothly.

A proactive, dependable approach and willingness to adapt as priorities shift
Clear communication skills and attention to detail
Strong organisational skills and the ability to stay on top of multiple priorities
Sound judgement, with a clear understanding of confidentiality and discretion
Ability to remain calm and responsive under pressure
