The Role
We are seeking a warm, grounded, and highly efficient Practice Receptionist to join our Collingwood team.
This isn't just a standard data-entry job. You are the face and voice of our practice. You will balance genuine empathy for clients facing complex vulnerabilities with the firm professional boundaries required to keep front-of-house operations running seamlessly. If you are someone who thrives in a fast-paced environment, loves optimizing calendars, and can effortlessly pivot from a compassionate client interaction to precise medical billing, we want to hear from you.
This role is suited to experienced administration personnel who are self motivated, able work independently, transition rapidly between tasks, and show initiative. The practice receptionist is often the only member of the administrative team in the office with support from the Practice Manager and Clinical Director who may be working remotely.
Key Responsibilities
- Front of House & Client Experience: Greet clients warmly, manage the physical clinic environment, and provide a calm, welcoming atmosphere.
- Intake & Triage Management: Masterfully handle phone, email, and website inquiries. Process new referrals (including GP plans), and execute comprehensive initial client setups with high attention to detail.
- Diary & Capacity Optimization: Proactively manage clinician calendars, coordinate Telehealth vs. Face-to-Face appointments, manage waitlists, and strictly execute late cancellation/DNA protocols.
- Financial Operations Support: Execute accurate face-to-face and remote client billing using Cliniko and Tyro/HICAPS, handle Medicare/PHI claims, and assist with fundamental NDIS intake flags.
What We Are Looking For
- Boundaried Care: You have experience or a strong comfort level working within trauma-informed spaces. You can hold a compassionate space for clients in distress without stepping into a counseling or caretaking role.
- Succinct & Warm Communication: Your communication style is clear, welcoming, and actionable. You know how to give clients direct instructions while remaining approachable.
- Technical Savvy: High proficiency with Cliniko (or similar medical practice management software) and Tyro/HICAPS merchant terminals is essential.
- Google Workspace Pro: Strong skills utilizing Google Docs, Sheets, Drive, and Gmail to manage shared team trackers and workflows.
- Administrative Excellence: Exceptional attention to detail, strong time-management skills, and an absolute commitment to healthcare privacy and confidentiality.
