The Role:
Prior Law is seeking a full-time Records & Deeds Clerk at our Morwell office to play a key part in ensuring our safe custody management runs smoothly. This role will involves digitising and maintaining our firms records, overseeing internal deed requests, and assisting with our external deed requests. The classification for this position will be full-time worker under the Legal Services Award Level 2 or 3 ($29.45 to $31.11 per hour) plus super.
The key responsibilities will include:
- Digitise physical client deeds and other legal documents using scanning equipment.
- Register and classify digitised information into the Electronic Document Records Management System.
- Organise, index, and maintain Prior Law’s collection of deeds, titles, wills, certificates, and other legal documents.
- Uphold the accuracy and completeness of all deed records, estate documents, and other legal records.
- Supervise internal safe custody requests and assist with the completion of external safe custody requests.
- Work collaboratively across the legal team and operations team to provide documents required for legal transactions and safe custody enquiries.
- Liaise with coworkers, clients, and other law firms to facilitate both the provision of copies of documents and the release of original documents.
- Maintain the confidentiality and security of sensitive legal documents and information.
Experience and attributes required:
- Familiar with Microsoft Office and Adobe products.
- Proven ability to follow procedures correctly.
- Strong organisational skills and attention to detail.
- General knowledge of legal terminology and procedures.
- Proficiency in document management software and database systems.
- Excellent communication and interpersonal skills.
- Ability to work both autonomously and collaboratively in a team environment.
- Commitment to upholding confidentiality and ethical standards in handling legal documents and estate matters.
