We're seeking a motivated and organised Clinic Administration Officer to join our team at our Pannawonica Clinic on a full-time basis.
This is an excellent opportunity for someone who enjoys working in a busy healthcare environment, delivering exceptional customer service and managing a variety of administrative responsibilities that support quality patient care and clinic operations.
Reporting directly to the Practice Manager, you will play an important role in ensuring the smooth day-to-day running of the clinic by coordinating appointments, supporting administrative processes and providing a welcoming experience for clients, patients and visitors.
Working closely with our clinical and administration teams, you will contribute to the delivery of efficient and high-quality occupational health and general medical services. Previous medical administration experience is highly regarded; however, training and support will be provided for the right candidate who is eager to learn and develop their skills.
You will be responsible for, but not limited to:

Providing professional and friendly reception support to clients, patients and visitors.

Managing appointment bookings, client enquiries and general clinic correspondence.

Processing medical bookings and supporting the coordination of health assessments and medical services.

Administering health questionnaires and ensuring accurate documentation is maintained.

Managing results, reports and confidential medical information in accordance with privacy requirements.

Completing data entry and maintaining accurate client records.

Processing invoices and supporting general administrative functions.

Assisting the Practice Manager and wider clinic team with day-to-day operational requirements.

Ensuring a positive client experience through exceptional customer service and effective communication.

Working collaboratively with healthcare professionals and administration colleagues to support efficient clinic operations.
The successful candidate will be a confident and organised administrator who enjoys working with people and is committed to delivering outstanding service in a healthcare environment.
Essential Requirements-
Strong administration skills with excellent attention to detail and accuracy.

Excellent customer service and interpersonal skills, with the ability to communicate effectively with clients and team members.

Ability to manage competing priorities and work effectively in a fast-paced environment.

A proactive approach with strong organisational skills and the ability to work both independently and as part of a team.

Commitment to maintaining confidentiality, professionalism and high standards of service.

Good computer skills and confidence learning new systems and processes.
Desirable-
Previous experience in medical administration, healthcare reception or a similar customer-focused environment.

Experience using medical practice management software.

Understanding of healthcare administration processes and terminology.

Current CPR Certification or be willing to obtain these (please speak to us if you need support in obtaining certification)
