The Contracts Administrator provides professional contract administration services that support effective procurement and contract management practices.
The position ensures contractual compliance, strong governance, and accurate financial and contract records, while contributing to the efficient delivery of organisational projects and operational services.
Responsibilities and duties include but are not limited to:
- Administer contracts from award through to completion in accordance with Council policies and
legislative requirements.
- Maintain contract records, registers, and documentation to ensure accuracy and completeness.
- Monitor key contract milestones, including commencement, extensions, variations, insurances,
securities, warranties, and expiry dates.
- Prepare and process contract documentation, correspondence, notices, amendments, progress
claims, purchase orders, invoices, and payment certificates in accordance with contractual
requirements.
- Monitor contract expenditure including variations against approved budgets and contract values.
- Assist with financial reconciliation, forecasting, accruals, and reporting.
About you
Our ideal candidate will have:
- Current Queensland Driver’s Licence.
- High level accounting or contract management experience in a small to medium multi-function organisation or Local Government environment.
- Understanding of procurement processes and contracts and contract legislation.
- Demonstrated proficiency in the use of computer software including Microsoft Word, Outlook, Excel and the ability to be rapidly proficient in councils program suite including Authority, InfoXpert, Customer Request Management System (CRM), GIS system.
- Ability to work with minimal supervision and apply time management practices to ensure required timeframes are adhered to.
- Well-developed reporting and analytical skills to produce reports to a high standard.
- An understanding of AS4000-1997 General Conditions of contract.
- Demonstrated ability to apply process review and improvement methods.
- Attention to detail.
- Well-developed communication and interpersonal skills with the ability to interact and build relationships with a broad range of internal and external stakeholders.
- Demonstrated experience in the provision of quality service to internal and external customers.
- High level of problem-solving skills.
