Are you an organised, professional, and warm individual looking to make a meaningful impact? BallyCara, a values-based organisation dedicated to fostering healthy and happy living, is seeking an Executive Administration Officer to support our Executive Director, Chairman, Board, and Executive Team.
As our Executive Administration Officer, you will be at the heart of our organisation, supporting the performance of our board and leadership teams. You will manage communications with professionalism and foster positive relationships with a wide range of stakeholders, including Board Members, Senior Leaders, government representatives, advocacy services, and external businesses.
Key Responsibilities:
- Coordinate and manage meetings and events, handling all logistical aspects seamlessly to support our strategic themes of People, Presence, and Partnerships.
- Utilise Office 365 to streamline processes and enhance efficiency for the Chairman and Executive Director.
- Prepare high-quality minutes, documents, reports, and presentations that reflect our commitment to integrity and transparency.
- Maintain strict confidentiality and discretion of sensitive information, ensuring privacy and trust.
- Foster a collaborative and supportive office environment, aligning with our SONA® values.
Skills and Experiences:
This is a key Executive Administrator role supporting senior leaders and Board governance at the heart of a complex, purpose-driven organisation. You’ll bring order to complexity, keep executive operations running smoothly, and ensure governance excellence every step of the way.
The knowledge, skills, experience, and professional qualifications for this role are:
- Qualifications: Certificate IV in Business Administration (minimum) or equivalent; Diploma or higher highly desirable, or strong senior executive/Board support experience
- Experience: 5–7+ years’ executive support at CEO, ELT and/or Board level. Proven Board and Committee governance experience essential, ideally within a complex regulated environment (e.g. not-for-profit, health, aged care or similar)
- Board & Executive Support: End-to-end coordination of Board and Committee processes, including agendas, papers, minute-taking, and confidential governance documentation
- Communication: Exceptional written and verbal communication, with the ability to produce high-quality executive and Board-level correspondence, reports and briefings
- Technical Skills: Advanced Microsoft 365 capability (Outlook, Word, Excel, PowerPoint), with experience managing executive diaries, Board portals and document systems
- Organisation & Delivery: Highly organised with the ability to juggle competing priorities, maintain accuracy under pressure, and manage complex workflows across senior stakeholders
