Primary objective
Provide comprehensive, confidential executive support and high-level administrative services to the Senior Director, Finance
and Employment Services, enabling effective business operations and supporting the achievement of organisational
objectives.
Key duties and responsibilities
1. Provide comprehensive administrative support to the Senior Director which may include:
- Providing high level secretarial support including minute taking and logistical support to working groups, committees,
and events/functions.
- Maintaining appropriate administrative systems, registers, processes, databases and record management to improve
efficiency and service delivery.
- Managing a range of procurement functions including purchasing and invoice management.
- Managing email inboxes, diaries, meetings and travel arrangements.
2. Draft and prepare correspondence and documentation to support the achievement of business requirements.
3. Liaise in a discreet and confidential manner with a wide range of people including but not limited to, all levels of staff
within the agency, the Chief Executive’s office and external stakeholders.
Selection criteria
Essential
1. Demonstrated experience providing administrative support to a senior leader or executive, including managing calendars,
scheduling meetings, handling correspondence and maintaining confidential files and records.
2. Well-developed professional, interpersonal, and influencing skills with the ability to communicate (both written and
verbally) with a diverse group of stakeholders and build positive working relationships with other staff.
3. Proficient in the use of MS Office (Word, Excel, Outlook, Teams, and PowerPoint) and record management systems with
a willingness to adopt new technology.
4. Proven high-level organisational and time management skills, with the ability to prioritise tasks, meet changing deadlines,
work independently with minimal supervision, while maintaining high levels of accuracy and attention to detail.
5. Demonstrated ability to communicate effectively and diplomatically, including the ability to prepare high-level
correspondence in plain English.
6. Strong work ethic and attitude in line with NTG values: commitment to service, ethical practice, respect, accountability,
impartiality, and diversity.
