We are looking for a highly organised and detail-oriented Rental Administrator – Customer Support to join our team at our Perth branch and support the efficient processing and coordination of rental agreements, invoices, and customer hire activities. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple administrative tasks in a fast-paced environment. Working closely with the rental controller, sales team, and customers, you will play a key role in ensuring smooth rental operations and accurate system processing across the department.

In this role you will be responsible for the following.
- Process and enter rental agreements accurately into the database to ensure correct invoicing.
- Assist with the end-to-end rental process, including sourcing sub-hire equipment, following up purchase order numbers, and managing customer damages.
- Monitor daily hire activity by contacting customers and representatives via phone and email to confirm and update hire statuses.
- Respond to off hires calls from customers and representatives and process them accurately in the system.
- Provide administrative support to customers and walk-in enquiries in a professional and timely manner.
- Assist sales representatives while they are out in the field by providing accurate rental and availability information.
- Act as a backup to the Rental Coordinator during periods of leave or absence.
- Prepare and issue transport requests promptly to ensure timely movement of equipment.
- Maintain accurate general filing, records management, and document archiving processes.
- Process and manage cash sale accounts in accordance with company procedures and systems.
The successful candidate will ideally have the following qualifications and experience.
- High level of attention to detail, critical for accurate data entry and rental processing.
- Strong team player with the ability to work collaboratively in a busy office environment.
- Certificate II or III in Business Administration is highly regarded but not essential.
- Previous experience in the hire, rental, or equipment industry is advantageous but not required.
- Strong organisational skills with the ability to prioritise tasks and manage competing deadlines.
- Ability to work independently with minimal supervision while maintaining accuracy and efficiency.
- Hands-on, adaptable approach with a strong “can-do” attitude.
- Excellent written and verbal communication skills with a professional telephone manner.
- Competent computer skills, including proficiency in Microsoft Office applications.
- Strong problem-solving skills with a practical and solutions-focused mindset.
