Holmesglen Institute is undertaking a major ICT Infrastructure Refresh Project, delivering upgrades across our network, data centre, security, telephony and collaboration platforms. To support a key phase of this multi-year program, we are seeking an Administrative Officer to provide high-quality administrative and coordination support on a casual basis over the coming months.
This role works closely with internal teams and external vendors to support the ICT Program and Project Delivery team. The position coordinates day-to-day administrative activities and contributes to the effective delivery of project outcomes.
As an Administration Officer, you will:

Coordinate workshops, meetings and project logistics, including room bookings, catering and service requests.

Raise and manage purchase orders, goods receipts, invoices and related procurement documentation.

Track and reconcile quotes, purchase orders, deliveries and invoices to ensure accurate record keeping and reporting.

Liaise with vendors to obtain quotes and coordinate procurement and service activities.

Raise and manage job tickets, work orders and transfer requests to support project delivery.

Maintain project records and provide administrative support to the ICT Program team.
To be successful, you’ll have:

Demonstrated experience in an administrative, project support or coordination role.

Intermediate Microsoft Excel skills, with the ability to manage and maintain accurate records.

Strong organisational and communication skills, with the ability to manage competing priorities and engage effectively with a range of stakeholders.

Experience using TechnologyOne or a similar finance/procurement system (TechnologyOne essential).

Knowledge of procurement and financial administration processes, with experience using CIA highly regarded.

High level of accuracy and attention to detail when managing documentation, purchase orders and invoices.
WWCC and Police Check:
Appointment to this position is dependent on obtaining a Victorian ‘employee’ Working with Children Check, and a valid Police Check within the last 12 months.
